The RoleĀ
OverviewĀ
TheĀ Events ManagerĀ is a broad, hands-on role responsible for the end-to-end delivery ofĀ BioPhorumāsĀ global events programme. This includes conferences, Phorum meetings, and smaller workshops, ranging from large-scale international events to more intimate, specialist sessions.Ā
The role ensures that all events are delivered to a consistently high standard, providing a seamless experience for members whileĀ maintainingĀ strong operational, financial, and logistical control. The Events Manager works closely with Phorum teams, facilitators, and external suppliers to deliver events that support member engagement and reinforceĀ BioPhorumāsĀ reputation for quality.Ā

Key ResponsibilitiesĀ
End-to-End Event Planning & DeliveryĀ
- Manage the full lifecycle of events from planning through to delivery and post-event evaluationĀ Ā
- Develop detailed event plans, timelines, and joining instructions in collaboration with Phorum teamsĀ Ā
- Coordinate all event elements to ensureĀ timelyĀ and successful deliveryĀ Ā
Logistics ManagementĀ
- Source and contract venues, hotels, and suppliers for UK and international eventsĀ Ā
- Manage travel, accommodation, AV requirements, and on-siteĀ logisticsĀ Ā
- Ensure all physical and technical arrangements support high-quality event deliveryĀ Ā
Budget Management & Cost ControlĀ
- Develop and manage event budgets, ensuring spendĀ remainsĀ within approved limitsĀ Ā
- Track costs, manage financial risks, and deliver value for moneyĀ Ā
- ProvideĀ accurateĀ budget reporting and support finance processesĀ Ā
Supplier & Vendor ManagementĀ
- Select, brief, and manage relationships with venues, AV providers, caterers, and other suppliersĀ Ā
- Negotiate contracts and ensure delivery against agreed standardsĀ
- Maintain a reliable supplier network to support consistent deliveryĀ
On-Site Event DeliveryĀ
- Lead or oversee on-site execution of eventsĀ Ā
- Manage event staff and troubleshoot issues in real timeĀ Ā
- Ensure a seamless and professional experience for all participantsĀ Ā
Compliance, Safety & Risk ManagementĀ
- Conduct risk assessments and ensure health, safety, and legal complianceĀ Ā
- Review contracts and manage potential operational risksĀ Ā
- Ensure adherence to internal policies and standardsĀ Ā
Post-Event Evaluation & Continuous ImprovementĀ
- Gather and analyse feedback from eventsĀ Ā
- Review performance against attendance, budget, and satisfaction metricsĀ Ā
- Implement improvements to enhance future event deliveryĀ Ā

- Complex Event Programme ManagementĀ ā Experience managing multiple events with overlapping timelines and stakeholdersĀ Ā
- End-to-End Event DeliveryĀ ā StrongĀ expertiseĀ acrossĀ logistics, planning, and execution for both UK and international eventsĀ Ā
- Budget ManagementĀ ā Proven ability to manage budgets and control costs effectivelyĀ Ā

LocationĀ
This is a home-based role with occasional travel requirements, including at least two trips per year within the UK and two international trips to support the organizationās annual events cycle. Applicants should be able to commit to this travel schedule.Ā
