Job Summary
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support the Group President for all Florida operations. This role is critical to ensuring efficient day-to-day executive support, seamless scheduling, and well-prepared meetings. The ideal candidate is a strong communicator who can anticipate needs, manage competing priorities, and handle confidential information with discretion. s.Â
Essential Duties & Responsibilities
- Manage and coordinate the Group President’s calendar, including scheduling internal and external meetings across multiple Florida locationsÂ
- Organize and prioritize daily schedules to ensure optimal use of executive timeÂ
- Prepare, compile, and distribute documents, reports, presentations, and agendas in advance of meetingsÂ
- Attend meetings as requested to take notes, capture action items, and distribute follow-up summariesÂ
- Coordinate travel arrangements, including flights, lodging, transportation, and itinerariesÂ
- Serve as a point of contact between the Group President and internal teams, leadership, and external partnersÂ
- Assist with organizing leadership meetings, site visits, and special events.  Â
- Maintain accurate records, files, and correspondence in an organized and accessible mannerÂ
- Handle confidential and sensitive information with professionalism and discretionÂ
- Provide general administrative support and assist with special projects as neededÂ
Qualifications
REQUIREDÂ
- Proven experience as an administrative assistant or executive support role, preferably supporting senior leadershipÂ
- Exceptional organizational and time-management skillsÂ
- Strong written and verbal communication abilitiesÂ
- High attention to detail and accuracyÂ
- Ability to manage multiple priorities in a fast-paced environmentÂ
- Professional demeanor with the ability to interact effectively at all levels of the organizationÂ
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)Â
- Ability to work independently, anticipate needs, and exercise sound judgmentÂ
- High school diplomaÂ
- Ability to maintain a high level of trust and confidentiality with sensitive items    Â
- Positive attitude and the ability to work with and learn from othersÂ
- Effectively communicate with both internal and external customersÂ
- Agility in computer softwareÂ

PREFERREDÂ
- Experience supporting executives with multi-location or regional operationsÂ
- Familiarity with meeting coordination, travel planning, and executive-level correspondenceÂ
- Experience preparing meeting minutes and executive summariesÂ
- Experience supporting Project ManagersÂ
- Experience in the Construction industryÂ
- Accounting experienceÂ
