Responsibilities
We are seeking a highly organized, proactive, and polished Executive Administrator to serve as a strategic partner to the President and provide backup support to the CEO’s Executive Assistant as needed.

The ideal candidate is a self-starter who anticipates needs, manages competing priorities effectively, and remains calm under pressure while supporting executive leadership at the highest level.

This is a central, highly visible role within the organization, requiring the ability to manage, influence, and contribute to a wide range of company initiatives and executive priorities. The ideal candidate is flexible, solutions-oriented, and comfortable providing thoughtful, constructive input when needed.

The individual in this role must also be comfortable representing the President and CEO when necessary, demonstrating strong executive presence, professionalism, and sound decision-making. Exceptional organizational skills, strong communication, and the ability to handle confidential information with discretion are essential.

This role requires flexibility, including occasional evenings, weekends, and extended hours as needed.

Key Responsibilities:Â
Executive Support (President & CEO Backup)Â Â
- Manage complex, ever-changing calendars for the President; provide seamless backup support for the CEO as needed Â
- Prioritize competing demands, ensuring alignment with business priorities and executive focus areas Â
- Prepare agendas, briefing materials, and follow-ups for key meetings and leadership discussions Â
Meeting & Event Coordination Â
- Coordinate internal and external meetings, to include leadership, board-related, and cross-functional sessions Â
- Manage logistics end-to-end: scheduling, materials, catering, and on-site coordination Â
- Prepare executives with relevant documents and context in advanceÂ
- Collaborate cross-functionally with internal departments to support business objectives and ensure seamless operationsÂ
Travel & Expense Management Â
- Plan and manage detailed travel, including itineraries, accommodations, and transportation
- Handle expense reporting accurately and timely
Communication & Stakeholder Management Â
- Serve as a point of contact for internal leaders and external partners on behalf of the President and CEOÂ
- Manage sensitive communications with professionalism and urgency Â
- Help streamline communication flow across leadership teams Â
Operational & Project Support Â
- Create and maintain executive-level PowerPoint presentations, reports, and business documents with strong attention to detail and professionalism
- Assist with special projects, cross-functional initiatives, and executive-level deliverablesÂ
- Manage and support the corporate goals process by coordinating meetings, discussion points, and key takeaways/action items
- Support invoice processing and administrative workflows as needed Â
Confidentiality & Executive Presence Â
- Handle highly sensitive and confidential information with discretion Â
- Operate with strong judgment when engaging across all levels of the organization Â
Team & Culture Support Â
- Coordinate team communications, events, and key engagement moments Â
- Help drive organization and structure within the executive teamÂ
Qualifications
- 5+ years of experience supporting senior executives, preferably at the C-level (CEO, President, EVP, etc.)Â
- Proven ability to thrive in a fast-paced, high-pressure corporate environmentÂ
- Exceptional multitasking, organizational, and time-management skillsÂ
- Strong sense of urgency with the ability to pivot quickly and re-prioritize competing demandsÂ
- Self-starter with the ability to work independently and proactivelyÂ
- Excellent written and verbal communication skillsÂ
- Strong problem-solving abilities and attention to detailÂ
- Ability to maintain professionalism and composure under pressureÂ
-  High level of discretion, confidentiality, and executive maturityÂ
- Advanced proficiency in PowerPoint and other Microsoft Office Suite programsÂ
- Comfortable leveraging AI tools and technology to improve efficiency, organization, communication, and workflow managementÂ
- Experience working with BI tools, reporting platforms, and executive-level business data preferred. Â
- Quick learner with the ability to adapt to new systems, tools, technologies, and evolving business needsÂ
