Hello Nanny! is a WBENC-certified household staffing and nanny placement agency serving families across the United States. We are a legally structured staffing agency — not a profile-browsing marketplace — that manages every stage of the hiring process on behalf of our clients, from intake and recruitment through vetting, onboarding, and placement. We are actively transitioning from a boutique agency model to a self-serve SaaS platform, and this role sits at the heart of that growth. The recruiter hired into this position will be helping build something — not simply filling a role. Role Summary The Nanny Placement Recruiter owns the full Concierge client experience from intake through successful placement. This is a high-touch, high-accountability role requiring someone who can manage multiple active searches simultaneously, communicate with families and candidates with warmth and precision, and operate with a high degree of autonomy and professional judgment. This is not a general recruiting role. The Recruiter must develop deep fluency in household staffing, including domestic employment structures, offer and work agreement processes, compensation standards, household norms, and the regulatory nuances governing nanny and household employment. The ideal candidate brings strong recruiting instincts, exceptional client communication skills, and the availability to remain consistently present and responsive across two daily windows Thursday through Monday: mornings for candidate interviews (8:00–11:00 AM ET) and afternoons/evenings for client and candidate engagement (2:00–10:00 PM ET). Working Conditions This is a remote role with two defined daily coverage windows Thursday through Monday. The schedule is intentionally designed around the operational realities of household staffing. • Morning window (8:00–11:00 AM ET): Candidates — particularly those in CST–PST time zones — prefer pre-work interview slots, making this the highest interview acceptance window • Evening window (2:00–10:00 PM ET): Families are most reachable after school pickup through dinner hours, while candidates (active caregivers) are typically most responsive after their own workday concludes • Weekend availability is mandatory, not optional — many families advance their searches on Saturdays and Sundays • Evening engagement extending through 8:00–10:00 PM ET is normal and expected and should not be viewed as occasional overtime Candidates located in Mountain or Pacific Time Zones are particularly well-positioned for the evening coverage window. The morning interview block (8:00–11:00 AM ET = 6:00–9:00 AM MT / 5:00–8:00 AM PT) requires an early start but is considered realistic for motivated candidates in those regions. Eastern Time Zone candidates must be fully available for both coverage windows. Candidates with competing afternoon or evening obligations are not considered a fit for this role regardless of time zone. Compensation: $50,000–$58,000 annually, commensurate with experience and qualifications Benefits: 2 weeks of accrued paid time off (PTO) 5 paid sick days Paid federal holidays Core Responsibilities Phase 1 — Client Intake & Role Definition • Conduct personalized intake calls with Concierge clients to understand family dynamics, household culture, schedules, and priorities • Translate intake details into well-crafted, accurate job requisitions for client review and approval • Advise clients on market-rate compensation, role structure, guaranteed hours, and legal employment expectations • Educate clients on domestic employment compliance (W-2 status, overtime, mileage reimbursement) without providing legal advice Phase 2 — Active Recruitment • Broadcast approved job requisitions across Hello Nanny!’s candidate network and external channels • Source and attract qualified candidates using agency tools, networks, and outreach strategies • Maintain an active, organized pipeline of candidates across multiple concurrent searches Phase 3 — Candidate Screening & Vetting • Conduct thorough phone and video screenings to evaluate candidate qualifications, experience, and household fit • Assess candidate professionalism, communication style, and understanding of household employment structures • Verify credentials, certifications, and employment history during the screening stage Phase 4 — Candidate Presentation & Client Communication • Present curated candidate shortlists to clients through the agency platform with clear, professional summaries • Manage ongoing client communication throughout the search process, including proactive updates, timeline management, and expectation setting • Coordinate interview scheduling and working-trial logistics between families and candidates Phase 5 — Reference & Background Check Coordination • Conduct a minimum of three personally facilitated reference checks per candidate in accordance with Hello Nanny! standards • Coordinate comprehensive background screenings (state, federal, national sex offender registry, and DMV checks) through agency-approved channels • Document and summarize reference feedback for client review Phase 6 — Offer & Onboarding Support • Draft and present offer letters aligned with client-approved terms and compensation • Facilitate work agreement walkthroughs using Hello Nanny!’s templates, clearly presenting and explaining terms • Coordinate payroll setup introductions and provider handoffs • Note: The Recruiter may not provide legal interpretation or attorney-equivalent guidance under any circumstances Phase 7 — Post-Placement & Retention • Conduct structured check-ins at 30, 60, and 90 days post-placement • Document placement outcomes and flag replacement guarantee triggers in accordance with agency policy • Maintain strong client relationships to support retention, re-engagement, and referral generation Job Ad & BYOC Service Support • Assist with Job Ad inquiries where clients independently post their role and request agency support • Support BYOC (Bring Your Own Candidate) clients through vetting, reference checks, background screening, and onboarding • Coordinate with the Talent & Client Success Coordinator on candidate workflow and intake tasks Qualifications • Candidates located in the Mountain or Pacific Time Zones are strongly preferred due to alignment with the required evening coverage schedule. Eastern Time Zone candidates must be able to confirm unrestricted and consistent availability for both required daily coverage windows Thursday–Monday • Availability Thursday–Monday across both required daily operating windows: 8:00–11:00 AM ET (candidate interviews) 2:00–10:00 PM ET (client and candidate engagement) These coverage windows are core operational requirements of the role and are non-negotiable • Minimum of 2+ years of experience in full-cycle recruiting, staffing, placement, or a similarly high-touch client-facing role • Exceptional written and verbal communication skills, with the ability to communicate professionally, warmly, clearly, and confidently with both families and candidates • Strong organizational and time-management skills, with the ability to manage multiple active searches simultaneously while maintaining accuracy, responsiveness, and attention to detail • High level of personal accountability, initiative, and autonomy — this role requires independent decision-making and ownership rather than constant supervision or day-to-day management • Comfortable operating within a fully remote environment using video calls, CRM systems, digital communication tools, and collaborative online platforms Preferred • Prior experience in household staffing, domestic employment, or nanny placement • Familiarity with domestic employment fundamentals, including W-2 employment, guaranteed hours, overtime, and work agreements • Experience working in boutique or high-touch service environments where client relationships are central • Bilingual candidates strongly preferred Industry Knowledge Requirements (Training Provided) The selected candidate will be expected to develop working knowledge of the following areas, with structured onboarding support: • Nanny and household employee classifications and compensation structures • Domestic employment regulations, payroll, and tax fundamentals • Offer letter and work agreement structure and standards • Household staffing industry norms and client expectations • Hello Nanny!’s service model, platform, and operational workflows Performance Expectations This role is evaluated on output and quality, not hours logged.
