Compensation: USD $1,800 – $2,400 / month (Salary based on experience)

About the Role

We are looking for an independent, highly organized Operations Manager to serve as the operational backbone of the business. This is a highly varied, fast-paced administrative role—the furthest thing from a repetitive assembly-line job. You will manage transaction workflows, interact with stakeholders, build scalable operating procedures, and solve daily business challenges autonomously.

When faced with a technical gap or an unfamiliar problem, you won't throw your hands up; instead, you will independently research, source specialized freelancers, manage them effectively, and ensure the project gets completed to a high standard. You will work directly with the business owner, enjoying immense trust and autonomy.

Key Responsibilities

  • Transaction Coordination: Execute tasks within a comprehensive loan checklist, accurately extracting data from loan applications and legal agreements with extreme attention to detail.

  • Vendor & Freelancer Management: Source, vet, interview, and manage contractors on platforms like Fiverr for one-off projects (e.g., tech integrations, creative assets, operational builds), prioritizing high quality and fair pricing.

  • Process Documentation (SOPs): Independently map out workflows and build clear video tutorials and documentation using tools like Scribe and screen recorders, allowing future operations to scale seamlessly.

  • Stakeholder Communication: Manage professional email and phone correspondence with banks, title companies, and borrowers to collect post-closing documentation.

  • System Management: Learn and maintain proprietary loan processing software (Mortgage Automator), alongside managing everyday internal operations via Monday.com and Slack.

  • Proactive Problem Solving: Handle abstract or novel operational requests independently. Research solutions, troubleshoot bottlenecks, and present completed work rather than escalating daily problems to leadership.

Must-Have Qualifications

  • Experience: 3+ years of experience in operations, administrative management, executive assistance, or project coordination—ideally within a fast-moving, remote environment.

  • Technical Proficiency: Strong mastery of Excel and Google Workspace (Docs, Sheets, Drive). Comfort utilizing screen recorders/Scribe to document processes.

  • Communication & Location: Native or advanced fluent English proficiency (both written and verbal). Must be fully available to work during US Mountain or Eastern Time business hours.

  • Radical Honesty & Backbone: A personality that values absolute directness, transparency, and constructive feedback. You must be comfortable respectfully pushing back, asking clarifying questions, and speaking up if a process is broken.

  • Autonomy: Proven ability to figure things out without hand-holding. You thrive when given an outcome, managing the steps to get there entirely on your own.

  • Precision: High attention to detail.

Nice-to-Have Qualifications

  • Experience working with or building automations, prompts, or agents using AI tools (such as Claude or ChatGPT).

  • Previous experience in the real estate, mortgage, or private lending industries.

  • Experience navigating and utilizing project management spaces like Monday.com.
