In This Role

The Administrative Assistant will provide high-touch administrative, operational, and team support for a fast-paced studio environment preparing for multiple upcoming product launches. This role will support daily business operations across executive calendar management, travel coordination, expense processing, team events, meeting logistics, space support, procurement, and general office administration.

The ideal candidate will be highly organized, collaborative, proactive, and comfortable balancing competing priorities in a dynamic environment. This individual will work closely with leaders, internal teams, external business partners, vendors, and facilities contacts to ensure smooth day-to-day operations and timely execution of administrative needs.

Responsibilities

  • Provide executive-level calendar support for two leaders, including scheduling, calendar prioritization, meeting coordination, and follow-ups.
  • Manage studio/team calendar needs, including sending calendar invites, coordinating meeting cadence, and supporting recurring business rhythms.
  • Coordinate domestic and/or business travel arrangements, including itineraries, logistics, and related documentation.
  • Process and reconcile business expenses, expense reports, catering invoices, and event-related billing.
  • Manage conference room calendars, room reservations, and meeting space logistics.
  • Support conference room maintenance by coordinating with appropriate internal or facilities contacts as needed.
  • Assist with building access coordination and related administrative requests.
  • Provide general team support, including ad hoc administrative tasks and special projects.
  • Support space operations by maintaining documentation, tracking compliance needs, and helping organize team areas.
  • Coordinate meeting logistics, including room reservations, catering, materials, attendee coordination, and day-of support.
  • Support team events, including planning, setup, tear down, catering coordination, vendor point-of-contact responsibilities, and billing reconciliation.
  • Assist with storage organization, cleanup, downsizing, and inventory-related activities.
  • Manage hardware, peripherals, office supplies, reference materials, and related procurement needs.
  • Support vendor relationships and coordinate procurement of goods and services.
  • Provide executional project support as needed across administrative, operational, event, and logistics workstreams.
  • Partner with internal stakeholders to ensure deadlines are met and work is completed with accuracy and quality.

Qualifications

  • 5–7 years of experience in executive administrative support, business administration, or a similar administrative operations role.
  • Strong experience supporting senior leaders or C-suite-level executives with complex calendar management.
  • Experience managing multiple calendars, prioritizing meeting requests, and coordinating schedules across stakeholders.
  • Strong experience booking travel and preparing detailed travel logistics.
  • Experience processing expense reports, reconciling expenses, and maintaining accurate financial documentation.
  • Proficiency with Microsoft 365 productivity tools, including Outlook, Teams, Excel, PowerPoint, and related collaboration tools.
  • Strong meeting coordination skills, including room scheduling, agenda support, logistics, and catering coordination.
  • Experience supporting team events, offsites, morale events, or similar employee engagement activities.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication skills with the ability to work across leaders, teams, vendors, and external partners.
  • Ability to maintain confidentiality, exercise sound judgment, and operate with professionalism.
  • Strong attention to detail and ability to deliver high-quality work within deadlines.
  • Comfortable working in a hybrid work arrangement in the Puget Sound, WA area.

Preferred Qualifications

  • Previous experience supporting leaders in a large enterprise, technology, gaming, entertainment, studio, or product-focused environment.
  • Experience supporting teams during product launches, high-volume business cycles, or fast-moving project periods.
  • Prior experience coordinating with facilities, space planning, building access, or workplace operations teams.
  • Experience with procurement, hardware tracking, peripheral management, office supply management, or vendor coordination.
  • Experience supporting department financial operations, budget tracking, invoice reconciliation, or purchase-related documentation.
  • Experience working with external business partners and cross-functional internal stakeholders.
  • Ability to anticipate leader and team needs, identify gaps, and proactively drive administrative solutions.
  • Comfortable handling a high-touch role that includes executive support, team support, event coordination, logistics, and ad hoc operational tasks.

 

Salary Range 

At Blueprint, we strive to offer competitive pay that reflects the value of our team members. Compensation for this role is influenced by a variety of factors, including skills, education, responsibilities, experience, and geographic market. For candidates based in Washington State, the anticipated salary range is $27– $31 per hr.  Please note that we typically do not hire new employees at the top of the posted range. Actual starting pay will be determined based on experience, skills, and internal equity. The final salary and job title may vary depending on the selected candidate’s qualifications and could fall outside the stated range.
