Role Overview

We are seeking an Office Manager to support the daily operations of MultiBank Group’s Kuala Lumpur office. This role will be responsible for ensuring a smooth, professional, and well-organized working environment for the local team.

You will manage office administration, facilities, vendors, supplies, documentation, and employee support, while coordinating closely with HR, Finance, IT, and regional leadership. This is a hands-on role suited to someone highly organized, proactive, and comfortable supporting a fast-growing office environment.

Responsibilities

• Oversee day-to-day office operations and maintain a smooth, professional working environment for a growing team.

• Manage facilities: workspace, seating, maintenance, health and safety, and readiness ahead of headcount growth.

• Handle vendor and supplier management — contracts, procurement, negotiation and office supplies.

• Provide administrative and employee support across the office, including onboarding logistics for new starters.

• Coordinate closely with HR, Finance, IT and regional leadership on local needs and requests.

• Organise meetings, internal events, town halls and team logistics.

• Maintain accurate documentation, records, office budgets and expense tracking.

• Act as the local first point of contact for the office and support its continued setup and scaling.

Qualifications

• Proven experience in office management, operations or administration, ideally in a fast-paced environment.

• Strong organisational, multitasking and attention-to-detail skills.

• Experience managing vendors, contracts and office budgets.

• Confident communication and the ability to coordinate across multiple internal teams.

• Fluency in English and Bahasa Malaysia.

• Eligibility to work in Malaysia.

Preferred Qualifications

• Experience setting up or scaling a new office or site.

• Background in financial services, brokerage or another regulated environment.

• Familiarity with HR, Finance and IT coordination and common office systems.

• Event and meeting coordination experience; additional languages an advantage.
