About the role

The Sales Coordinator plays a key support role in helping move opportunities from inbound lead to signed agreement and smooth handoff to internal teams. This person will support proposal development, contract tracking, lead coordination, CRM hygiene, and sales follow-up processes. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple deadlines in an extremely fast-paced environment

What you’ll do

Contract Management

β€’ Prepare, send, and track contracts through to signature β€” ensuring deals close without delays.

β€’ Build and maintain a clean, structured system for contract storage and retrieval.

β€’ Proactively follow up on outstanding agreements so nothing gets stuck in someone's inbox.

Proposal Creation

β€’ Craft compelling, on-brand proposals that reflect our value and help convert prospects into clients.

β€’ Collaborate with the sales team to tailor pitch materials for specific client needs and industries.

β€’ Continuously improve proposal templates based on what wins deals.

Lead & CRM Coordination

β€’ Own inbound lead coordination β€” organizing new inquiries, scheduling discovery calls, and keeping CRM records accurate and up to date.

β€’ Support lead qualification research based on predefined criteria, helping the team focus on the right opportunities.

β€’ Maintain clean pipeline visibility across all active deals so leadership always has a clear picture.

Sales Handoff & Process Ownership

β€’ Coordinate seamless handoffs from sales to delivery, ensuring client context, next steps, and expectations are fully documented.

β€’ Track internal action items post-call and post-signature so nothing slips through.

β€’ Spot process gaps and proactively recommend improvements β€” you'll have a real voice in how we scale our sales operations.

What we’re looking for

β€’ 2+ years in sales support, sales coordination, or a similar role β€” ideally within a marketing, creative, or agency environment.

β€’ Familiarity with CRM tools (HubSpot preferred) and proposal/contract platforms (PandaDoc or similar).

β€’ Sharp organizational skills and an obsessive attention to detail β€” you catch what others miss.

β€’ Excellent written and verbal communication; you're clear, concise, and professional across every touchpoint.

β€’ A proactive, ownership mindset β€” you don't wait to be told; you see what needs to happen and you do it.

β€’ Ability to juggle multiple priorities and deadlines without dropping the ball.

You've supported fast-moving sales teams before and you know how to keep things organized without slowing anyone down. You're comfortable owning your corner of the business, communicating clearly with stakeholders at every level, and flagging issues before they become problems.
