Job Summary and Responsibilities

As our Pediatric Program Coordinator, you will help the Partners for Healthy Students program coordinate and administer admitting, data acquisition and processing, accounting, fundraising and public relations so they can efficiently provide healthcare services to patients/families, developing and implementing health education materials and programs for specific children/family populations.

 

Every day you will use Material Management's Systems for ordering and maintaining clinical and office inventories/supplies and manage internal program charges. You will be expected to (coordinate the reconciliation with Patient Financial Services, Materials Management, and dietary; provide oversight and guidance to school nurses and personnel with intake, eligibility, admission and referral processes; and facilitate referrals to community agencies when health and/or social issues are identified).

 

To be successful in this role, you must adeptly coordinate and administer all facets of the Partners for Healthy Students program, from admissions and financial management to direct patient care and the development of health education programs for children and families.

 

  • Uses Material Management's Systems for ordering and maintaining clinical and office inventories/supplies. Manages internal program charges and coordinates the reconciliation with Patient Financial Services, Materials Management, and dietary. Manages inventory for clinical and office supplies at appropriate par levels.
  • Responsible for oversight and coordination of the administrative activities of the respective area of responsibility for the Partners for Healthy Students program so that the operation runs efficiently. Provides oversight and guidance to school nurses and school personnel with intake, eligibility, admission and referral processes for the PHS program. Oversees and coordinates patient scheduling with school nurses, parents and school personnel.
  • Responsible for responding to parent/patient inquiries and community inquiries regarding services and billing. Uses sensitive customer relation skills in managing parent/patient/community inquiries. Coordinates inquiries regarding services and manages customer relations when charges have been mailed in error. Coordinates inquiries regarding services, determining eligibility and scheduling if appropriate and necessary.
  • Facilitates referrals to community agencies if health and/or social issues are identified in clinics. Coordinates linkage with appropriate community resources, including, but not limited to: Kidscare/AHCCCS, Yavapai County Community Health Services, ADHS Immunization Division and ASIIS, YRMC Ancillary Services, Arizona School for the Deaf and Blind, Lion’s Club, American Academy of Pediatrics’ Medical Services Project, Shriner’s Children’s Hospitals and Clinic, mental health providers, Child Find, Arizona Early Intervention Program and Physician offices for cases requiring referrals. Coordinates all dental services and referrals. Manages all referrals to appropriate community resources. Coordinates all referral processes following YRMC/HIPAA confidentiality guidelines.
  • Coordinates and integrates all pertinent information. Maintains all medical records in a confidential manner. Manages medical information including scanning. Maintains efficiency in entering and accessing data in the EMR. Maintains appropriate medical record coding according to YRMC standards. Responsible for organization and maintenance of all PHS medical records according to Hospital/ Health Information Management's standards.
  • Maintains clinical standards of care in recording any follow-up inquiries and appropriately documents in the medical record. Obtains appropriate current medical data (e.g. immunization records) for the delivery of quality health care.

Job Requirements

Required

  • Two (2) years of experience as a Medical Assistant or Licensed Practical Nurse
  • Two (2) years of clinical pediatric experience, preferably in a clinic, hospital, or school setting
  • Experience utilizing reporting and query tools
  • Driver's License: AZ (AUTO: AZ) 
  • AHA Basic Life Support - CPR (AHA BLS)
  • First Aid (FAC) 
  • Certified Clinical Medical Assistant (CCMA) or Licensed Practical Nurse: AZ (LPN: AZ) or
  • Registered Medical Assistant (RMA-AAH) or
  • Registered Medical Assistant AMT (RMA) or
  • Certified Medical Assistant AMCA (CMA-AMCA) or
  • Certified Medical Assistant NHA (CMA-NHA) or
  • National Certified Medical Assistant NCCT (NCMA) or
  • Certified Medical Assistant AAMA (CMA) or
  • National Registered/Certified Medical Assistant NAHP (NRCMA)
  • Ability to work with children and families across all developmental levels. Ability to care for patients with infectious diseases
  • Prioritizes and organizes complex duties and problem-solves in a competent, positive, professional, and creative manner. Strong office management and multitasking skills
  • Excellent communication, interpersonal, and liaison skills, and ability to communicate effectively under stressful situations. Demonstrates flexibility, patience, humor, and strong stress management skills
  • Ability to be objective in approach to all patients and families, regardless of socioeconomic background and health condition
  • Ability to recognize and use medical terminology
  • Willingness to learn to drive/operate a mobile clinic for emergency purposes only.
  • Must have own transportation and automobile insurance
  • Computer literacy and proficiency in Microsoft Windows and Google Workspace. Ability to accurately and efficiently enter and extract data
  • Current AZ DPS level one fingerprint clearance card within seven (7) days

Preferred 

  • One (1) year of healthcare administrative experience
  • Electronic Medical Record (EMR) experience, Cerner Experience
  • Licensed Practical Nurse: AZ (LPN:AZ)
  • Bilingual in Spanish
