About this role
This dual-role position combines office administration, property management coordination, and
executive support. You will support daily operations, manage maintenance workflows, and
assist leadership with administrative and strategic tasks.
Key Responsibilities
Β Property Management / Office Operations
β Monitor and manage incoming calls, emails, and voicemails
β Review tenant requests via property management system
β Coordinate non-emergency maintenance requests with vendors
β Route inquiries to appropriate departments or personnel
β Maintain organized records of communications and requests
β Ensure timely responses to tenants and stakeholders
Β Maintenance Coordination (Daytime)
β Review maintenance requests submitted via tenant portal
β Dispatch appropriate vendors for non-emergency issues
β Track progress and follow up on completion
β Maintain communication between tenants and vendors
Executive Assistant Duties
β Manage CEO calendar and scheduling
β Coordinate travel arrangements
β Attend virtual meetings, courses, or trainings
β Transcribe meetings and summarize key points/action items
β Assist with administrative tasks for leadership
Requirements
β Strong written and verbal English communication
β High attention to detail and organizational skills
β Ability to multitask across operations and executive support
β Professional and polished demeanor
β Strong tech literacy and ability to learn new systems quickly

Preferred Qualifications
β Experience in property management or real estate
β Prior executive assistant experience
β Bilingual (English/Spanish) highly preferred
β Experience with transcription or note-taking in meetings
