Job Description

The New York County District Attorney's Office (DANY) seeks a detail-oriented, proactive Legal Hiring Coordinator for its Legal Hiring Unit. This role provides critical, high-level administrative support to the Legal Hiring Director, the Hiring Board, and supporting units and departments. The Coordinator manages the full lifecycle of the law student and college student recruitment and hiring pipelines in a fast-paced public service environment.


Responsibilities include but are not limited to:


Recruitment & Interview Management

- Coordinate Schedules: Manage complex interviewing calendars for applicants and Hiring Board members.
- Candidate Experience: Greet arriving candidates, deliver precise instructions, and resolve immediate inquiries.
- Waiting Area Maintenance: Maintain the appearance, cleanliness, and readiness of the reception and candidate waiting areas.
- Pipeline Communication: Handle all official oral and written communication with applicants regarding status and deadlines.
- Offer Tracking: Monitor candidate response deadlines, track employment offers and compile regular status reports.

Database & Operations Administration

- Data Integrity: Maintain and update the unit’s proprietary Legal Hiring database with accurate applicant records.
- File Management: Perform administrative tasks, routine filing, and systematic archiving of historical recruitment files.
- Resource Management: Restock, organize, and monitor inventory of brochures, guides, and informational materials for applicants.
- Clerical Support: Execute high-level administrative tasks and general office duties.

Outreach & Program Management

- Program Administration: Assist in designing, supervising, and executing Semester/Summer Law and College Internship programs.
- Event Coordination: Assist with organizing internal recruitment programming and representing the Office at external law school outreach events.



In addition to the Minimum Qualification Requirements, candidates must possess the following:

- Level 1 – bachelor’s degree from an accredited college.
- Level 2 – bachelor’s degree from an accredited college and one (1) year of experience in a law office or business.
- Level 3 – bachelor’s degree from an accredited college and two (2) years of experience in a law office or business.



Preferred Requirements/Skills:


- At least one year of experience in a law office or business.

Administrative & Communication Skills

- Communication: Exceptional written, oral, and interpersonal communication skills for professional candidate and staff interaction.
- Technical Proficiency: Advanced skill in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Data Management: Proven ability to manage, update, troubleshoot, and edit complex proprietary databases.

Operational Execution & Discretion

- Confidentiality: Demonstrated ability to handle highly sensitive, confidential legal personnel information with strict discretion.
- Organization: Superior organizational, problem-solving, and analytical skills to manage competing priorities.
- Adaptability: Ability to perform under pressure, multi-task within a fast-paced environment.

Collaboration

- Compliance: Follow organizational procedures and policies.
- Collaboration: Dependable, resourceful team-player able to work with executive management, legal staff, interns, and professional staff.
- Professionalism: Ability to interact effectively with diverse populations and external colleagues and visitors.

Additional Information:

- Current office employees: To be eligible for a transfer or promotion, staff must have already served at least one (1) year in their current unit/bureau/department and be in good standing. In addition, must meet the minimum and additional qualifications of the position.
- Authorization to work in the United States is required for this position.

Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to "1" above.
