About this role

The Housing Program Support Specialist provides essential administrative and program coordination support to the Transitional Housing Program Manager and housing team. This position ensures the daily operations of the Transitional Housing Program run efficiently—supporting both staff and clients through organization, communication, and a trauma-informed approach.

 

In addition to administrative responsibilities, the Support Specialist may occasionally serve as the first point of contact for clients when other staff are unavailable, offering calm, non-judgmental, trauma-informed peer support and assistance in navigating immediate needs or connecting with appropriate staff and resources.

 

This role is ideal for someone early in their career in social services or nonprofit work who enjoys administrative support, logistics, and being part of a compassionate, mission-driven team.



Duties and Responsibilities:



  • Provide administrative support to the Transitional Housing Program Manager, including scheduling, meeting preparation, taking notes, and tracking follow-up items.
  • Maintain organized digital and physical filing systems, ensuring program and housing documentation is accurate and up to date.
  • Assist with data entry, reporting, and compliance tracking for funding and grant requirements.
  • Support invoice processing, supply ordering, and expense documentation related to program operations.
  • Prepare correspondence, reports, and presentations as requested.
  • Maintain program calendars, contact lists, and internal communication tools to support program organization.’
  • Coordinate maintenance requests, donations, and inventory for transitional housing (TH) units and program offices.
  • Support client move-in and move-out processes, including coordinating cleaning, furnishing, restocking supplies, and conducting safety checks.
  • Pick up, sort, and distribute mail and packages for TH clients and program operations.
  • Assist in planning and supporting life skills and educational groups (e.g., budgeting, tenant rights, healthy relationships).
  • Serve as a communication bridge between housing staff, case managers, vendors, and community partners to ensure smooth coordination.
  • Track referrals, service requests, and resource connections as directed by the Program Manager.
  • Support building safety and security procedures, including monitoring access when necessary.
  • Perform light physical tasks such as lifting, carrying, restocking supplies, cleaning, and organizing storage or office areas (up to 50 lbs).
  • Attend team meetings, trainings, and professional development sessions.
  • Maintain confidentiality and professional boundaries in all interactions. 


Knowledge, Skills and Abilities:


  • Strong organizational, written, and verbal communication skills with excellent attention to detail, including the ability to coordinate schedules, prepare correspondence, maintain accurate records, and track follow-up items.
  • Basic understanding of trauma-informed and client-centered practices, with the ability to interact professionally and respectfully with clients, staff, and community partners while maintaining appropriate boundaries and confidentiality.
  • Proficiency with Microsoft Office applications and general data entry systems, including the ability to create and update documents, spreadsheets, calendars, and reports accurately and efficiently.
  • Ability to manage multiple priorities, adapt to changing needs, and meet deadlines in a fast-paced, collaborative environment while maintaining organization and quality of work.
  • Ability to perform physical tasks safely and effectively, including bending, lifting, carrying, cleaning, and organizing materials or supplies weighing up to 50 lbs, in accordance with Children’s Legacy Center policies and safety procedures.


Education and Experience:


  • High school diploma or equivalent; additional coursework or training in administration, social services, human services, or a related field is preferred.
  • Previous experience in administrative support, housing services, social services, or a related environment is preferred.
  • Experience working in a client-centered or service-oriented setting is preferred.
  • Possession of a valid California driver’s license.


Physical Requirements:

  • Ability to navigate the shelter facility and assist clients in various areas, which may include walking up and down stairs or moving between offices
  • Capability to sit for extended periods while conducting interviews or paperwork, as well as standing for various tasks such as providing support or assistance
  • Ability to lift and carry items up to a certain weight (e.g., up to 50 pounds), which may include files, supplies, or assistance for clients if needed
  • Ability to see and read documents, client forms, and screens for data entry and assessments



Rate of Pay:



$24.00-$27.00 per hour DOE
