We’re looking for a Business Support Lead to join our Tāmaki-makau-rau/Auckland or Te Whanganui-a-Tara/Wellington team!

About this team: 

As a Business Support Lead within our practice, you will play a critical role in enabling the effective delivery and performance of our portfolios. Working closely with Portfolio Leads, you will provide both operational support and strategic insight to ensure the portfolios run efficiently, are well coordinated, and achieve their business objectives. 

You will be joining a high-performing and collaborative team that supports senior leaders across a fast-paced and evolving environment. In this role, you’ll go beyond traditional administrative support - bringing strong judgement, attention to detail, and a proactive mindset to coordinate key business activities, deliver high-quality reporting, and provide data-driven insights that support decision-making and improve portfolio performance. 

Job Description

What will your typical day look like? 

As a Business Support Lead, you will be responsible for coordinating core business activities across the portfolio while supporting Portfolio Leads with both day-to-day priorities and longer-term planning. You will: 

  • Support Portfolio Leads with day-to-day operations, key priorities, and preparation of reports, presentations, and materials for leadership meetings. 
  • Assist with annual business planning and track progress against key initiatives. 
  • Manage billing activities, including tracking WIP reports, resolving issues, and ensuring financial processes are completed accurately and on time. 
  • Produce regular performance reporting and analyse data to highlight trends and insights that support informed decision-making. 
  • Organise and facilitate monthly performance meetings and key forums, including preparing agendas, coordinating logistics, and tracking follow-up actions. 
  • Plan and deliver team and portfolio events, including venue coordination, logistics, and stakeholder communication. 
  • Support internal communications and team engagement activities across the portfolios. 
  • Identify opportunities to improve processes and ways of working, proactively suggesting ideas and contributing to continuous improvement initiatives. 

Qualifications

  • Experience in a similar role (e.g. PA, Team Coordinator, Project Coordinator). 
  • Experience working in a professional services or corporate environment. 
  • Strong organisational skills with the ability to manage multiple priorities simultaneously. 
  • High attention to detail and strong forward planning capability. 
  • Clear and confident communication skills, with the ability to work effectively with stakeholders at all levels. 
  • Strong analytical capability, with the ability to review data and highlight key insights to support decisions. 
  • Proven ability to build strong working relationships internally and externally. 
  • A high level of professionalism, with the ability to handle confidential information with discretion. 
  • A proactive, solutions-focused mindset and a willingness to take ownership. 
  • Comfort working in a fast-paced and changing environment. 
  • Curiosity and a genuine interest in how the business operates. 
  • Confidence to suggest improvements and challenge existing ways of working where appropriate.
