Job Description

The US Benefits Administrator is responsible for driving compliance, processing governance, and system data integrity for both employee benefit programs and payroll workflows within the United States. This role requires a strong combination of end-to-end US benefits administration expertise and vendor-managed US payroll governance. Operating on shift timings aligned with US business hours, the specialist focuses on systematic cross-system auditing, data file uploads, and cross-functional year-end project management using SAP HCM or SuccessFactors.

Key Responsibilities:

  • Benefits Administration: Manage US benefits administration, including open enrollment, compliance updates, and vendor coordination.

  • Year-End Management: Managed year-end benefits activities coordinating with cross-functional teams to deliver error-free year-end processing and reporting.

  • Data Validation: Review and Validate data on US benefits including files (Health & Welfare, 401k, etc.), audits, request including special items. 

  • Perform bi-weekly reconciliation of 401(k) contribution and loan files against Fidelity records to ensure accurate participant data and funding verification.

  • File Management & Uploads: Execute the accurate uploading of Biweekly H&W (Medical, Dental, Vision, Insurance, HSA) files, 401k files, and Annual enrollment files into SAP during designated US operational hours. 

  • Data Integrity Audits: Conduct regular audits pertaining to employee data to ensure integrity between HRIS and third-party vendors systems.

  • Deduction Auditing: Perform periodic audits of uploaded benefits records to verify that benefits deductions are accurate on the employee's payroll.

  • Bonus File Management: Managing SIP/ AIP Annual & Quarterly Bonus Deferral 401K files.

  • Compliance Testing: Testing 401k, HSA limit annually to ensure compliance with applicable government regulations as it relates to US Benefits.

  • Enrollment System Testing: Plan, execute, and document comprehensive Annual enrollment testing across SAP and vendor platforms.

  • Issue Resolution: Troubleshoots and resolve complex customer issues professionally via the internal ticketing system.

  • System Improvements: Participate in SAP benefits and payroll system testing, enhancements, and continuous process improvement initiatives.

 

Qualifications

Education:

  • Bachelor’s degree in accounting, Finance, Human Resources, or a related field.

Experience:

  • 5+ years of blended experience in US benefits administration and US payroll governance

  • 3+ years of hands-on experience with SAP HCM ECC (PY) or SuccessFactors Employee Central Payroll (ECP).

  • Experience managing multi-state US benefits, compliance variations, and complex reporting structures.

Skills:

  • In-depth knowledge of US Benefits and Payroll laws and regulations (ERISA, COBRA, ACA, HIPAA, FLSA).

  • SAP master data maintenance, benefits interface monitoring, and file testing experience.

  • Strong analytical and data reconciliation skills for managing multi-carrier system uploads.

  • Proficient in Excel, formatting pivot tables, and comprehensive benefits deduction reporting.

  • Good communication skills, English proficiency preferred (especially in multinational environments).

  • Respond to operational inquiries via the ticketing system within defined service level agreements (SLAs).

  • Proven ability to work under tight compliance timelines and aggressive deadlines.

  • Flexibility to work regular US-aligned shift schedules from the Mumbai-Hybrid office setup.

Preferred Qualifications:

  • Experience working with third-party payroll providers (e.g., ADP, Employee Central, SAP).

  • Experience working with US third-party payroll providers and benefit carriers (e.g., ADP, Fidelity, Alight, etc.).

  • Professional industry certifications such as Certified Employee Benefit Specialist (CEBS) or SHRM-CP / PHR.

  • Knowledge of global shared services models or international HR data operations.
