Job Description

We are seeking an Administrative Assistant to join our partnering company team in Canada! You will perform clerical and administrative functions in order to drive company success.

Responsibilities:

  • Coordinate and schedule client appointments, assessments, and follow-up sessions. Utilize scheduling software and tools to ensure efficient allocation of resources and availability of therapists and coaches.
  • Maintain clear and effective communication with clients, coaches/therapists, and other team members. Respond to inquiries promptly and professionally, both via phone/text and email.
  • Assist in various administrative tasks, including data entry, file management, and maintaining accurate client records.
  • Handle sensitive and confidential information with the utmost discretion and professionalism, adhering to all privacy and other staff members.
  • Provide basic information to clients about the services offered, answer general inquiries, and direct them to the appropriate resources when necessary.

Qualifications:

  • High School Diploma or equivalent (Associate’s degree or higher preferred)
  • Proven experience in administrative roles
  • Strong organizational skills with a keen attention to detail
  • Proficiency in using scheduling software, Google Workspace, and the ability to learn new programs
  • Excellent communication skills, both written, and verbal
  • Ability to handle multiple tasks simultaneously and work effectively under pressure
  • Strong interpersonal skills and a client-centered approach
  • Respect for confidentiality and ethical standards

 

Qualifications

Experience in call centers is an asset.

Language requirements:

English - advanced 

Knowledge of Arabic or French is an asset
