About the Role

The Health, Hygiene, and Pharma Tenders Lead will be responsible for managing the full lifecycle of the tendering process for health, hygiene, and pharmaceutical products. This role involves identifying and tracking relevant tenders, developing competitive bidding strategies, ensuring compliance with regulatory requirements, and coordinating cross-functional teams to ensure successful submissions. The ideal candidate will possess strong analytical skills, deep knowledge of the pharmaceutical and hygiene industries, and the ability to build and maintain relationships with key stakeholders.

Roles and Responsibilities

  1. Tender Management & Strategy
    1. Identify and track relevant tenders from government agencies, hospitals, NGOs, and international organizations.
    2. Develop and execute a competitive tendering strategy based on market trends, competitor analysis, and pricing models.
    3. Coordinate with internal stakeholders, including sales, regulatory, supply chain, and finance teams, to ensure timely and high-quality submission of tenders.
    4. Maintain an updated database of past and current tenders, tracking success rates and key learning points.
  2.  Pricing & Commercial Analysis
    1. Conduct cost-benefit analysis to determine optimal pricing strategies for tenders while ensuring profitability.
    2. Assess competitors’ pricing strategies and bidding trends to refine the company’s tender approaches.
    3. Work closely with finance and procurement teams to ensure cost-effective sourcing and pricing of products for tenders.
    4. Develop financial models to assess risks and opportunities associated with different tender submissions.
  3. Regulatory & Compliance
    1. AssuranceEnsure all tender submissions comply with local and international pharmaceutical regulations and standards.
    2. Stay updated on regulatory changes impacting the health, hygiene, and pharmaceutical tendering processes.
    3. Collaborate with regulatory affairs teams to secure and submit required documentation, and national drug authority approvals.
    4. Ensure all products submitted for tenders meet the required quality and certification standards.
  4.  Cross-Functional Coordination
    1. Liaise with sales, procurement, and logistics teams to guarantee supply commitments can be met if tenders are won.
    2. Work with supply chain teams to forecast demand based on potential tender wins and ensure readiness for supply fulfillment.
    3. Collaborate with legal teams to review contracts and mitigate risks in tender agreements.
    4. Ensure alignment with marketing and business development teams to enhance visibility in the tendering market.
  5. Relationship Management & Stakeholder Engagement
    1. Build and maintain strong relationships with government procurement agencies, NGOs, and international health organizations.
    2. Represent the company in pre-bid meetings, industry forums, and networking events.
    3. Address any queries or clarifications raised by tendering authorities during the bidding process.
    4. Foster partnerships with key decision-makers to increase the company’s success rate in tender bidding.
  6. Performance Tracking & Reporting
    1. Monitor and analyze the performance of past tender bids to identify trends and improve future submissions.
    2. Provide reports on tender win/loss rates, key success factors, and areas for improvement.
    3. Maintain up-to-date records and dashboards on tendering activities, ensuring transparency and accountability.
    4. Recommend process improvements to enhance efficiency and effectiveness in tender management.
  7. Contract Execution & Post-Award Management
    1. Oversee the execution of awarded contracts, ensuring timely delivery and compliance with agreed terms.
    2. Manage contract amendments, price revisions, and renegotiations when necessary.
    3. Ensure smooth invoicing and payment processing in collaboration with the finance team.
    4. Work closely with operations to track contract performance and fulfillment.

 

Qualifications & Experience

  1. Bachelor's degree in Business Administration, Pharmacy, Supply Chain, or a related field. A Master’s degree is a plus.
  2. Minimum of 5 years of experience in pharmaceutical, health, or hygiene tendering processes.
  3. Proven track record of successfully managing tenders and securing contracts in the healthcare industry.
  4. Strong knowledge of regulatory frameworks governing pharmaceutical and hygiene tenders.
  5. Experience working with government institutions, NGOs, and international organizations in a tendering capacity.

  2. Excellent understanding of procurement and supply chain processes.
  3. Ability to manage multiple projects and meet strict deadlines under pressure.
