Reports to: Guest Services Manager and/or Store Manager (in each location)
Contract Term: Exact dates TBC - October/November, 2026 - April 2027
Salary: ¥1,700 per hour, starting

The Roles
Guest Services Assistant:
As a Guest Services Assistant, you’ll be the face of Rhythm—greeting guests, assisting with bookings, processing payments, and helping people glide through their day with ease. You’ll work alongside our Driver Team to coordinate guest pickups and drop-offs and help keep the store flowing during peak times. This role is fast-paced, people-focused, and perfect for someone who loves being in the action.
Guest Services Admin:
As a Guest Services Admin Assistant, you’ll operate behind the scenes to keep operations smooth across rental, retail, and guest service departments. From managing accounts and coordinating logistics to answering calls and handling guest queries, your calm, detail-focused approach will help keep things running in the background so the guest experience on the frontlines is seamless. If you're organised, tech-savvy, and love supporting a team, this one's for you.
Key Responsibilities and Duties
Shared responsibilities:
- Greet and assist customers in-store and over the phone with a friendly, helpful attitude.
- Respond to inquiries and ensure accurate, timely communication across departments.
- Process retail and rental transactions, including handling multiple payment types.
- Maintain and update customer records, including referral and account tracking.
- Monitor outstanding balances and assist in reconciliation and reporting.
- Keep your workspace clean, tidy, and welcoming.
- Support store promotions, events, and visual displays.
- Collaborate with other teams and jump in wherever needed to keep things flowing.
Guest Services Assistant – Role Focus
- Serve guests face-to-face at the main counter—handling check-ins, queries, and bookings.
- Coordinate timely guest pickups/drop-offs with the Driver Team.
- Assist with in-store flow during peak times (e.g., rental returns, retail queues).
- Execute opening/closing procedures with attention to detail.
- Reconcile cash drawers and prepare end-of-day reports.
- Provide fast, friendly, and efficient frontline service with a can-do attitude.
Guest Services Admin Assistant – Role Focus
- Work from the admin office to support back-of-house tasks and operations.
- Handle invoicing, payments, follow-ups, and account reconciliations via email and incoming calls
- Coordinate dispatches (e.g., via TaxiCaller) and answer calls efficiently.
- Liaise with delivery services like Takkyubin and manage inter-resort courier logistics.
- Track and report on overdue/lost gear and support guest recovery efforts.
- Assist with booking changes and support last-minute requests from Sales & Reservations.
- Monitor Google Reviews, customer feedback and escalate feedback where appropriate.
What You Need to Succeed
Guest Service & Communication
- Proven experience in a customer-facing role
- Strong interpersonal skills with the ability to connect with guests from all walks of life
- Confident handling customer concerns and problem-solving on the spot
Operations & Administration
- Accurate cash handling and payment processing experience
- Organised and tech-savvy, comfortable managing systems and admin tasks
- Adaptable and calm under pressure in a fast-paced environment
Team & Mindset
- Collaborative approach — you work well with people across departments
- Self-motivated with a proactive, can-do attitude
- A genuine passion for the snow industry and delivering memorable guest experiences
