Salary: ¥1,700 per hour, starting

The Role

The People Logistics Assistant plays a supportive role in ensuring a positive employee experience for the Rhythm team.  Key areas of responsibility are the smooth operation and management of employee accommodation ensuring the comfort, safety, and well-being of employees residing in company-provided accommodations. 

Key Responsibilities and Duties 

Accommodation

• Assist in the daily management of Rhythm Japan People Operations and HR functions, including onboarding and offboarding employees, fostering a great employee experience, and supporting employee relations and development.
• Supervise and manage all aspects of staff accommodations, specifically tenant movements, communication, conflict management, and ensuring staff are happy and comfortable.
• Manage accommodation inductions and arrivals during the onboarding process. This includes guiding staff through the main areas of the accommodations, the self-inspection process, rubbish/gomi management and collection, and house rules.
• Conduct regular inspections of staff housing units to ensure compliance with established standards (well-maintained, clean, fully functional), identify any maintenance or safety issues, and communicate these with the Property Team.
• Assist the Property Team with managing inventory and distribution of accommodation supplies, such as furniture, appliances, bedding, and other essential items.
• Handle and resolve any complaints or issues raised by staff members regarding their accommodations, addressing concerns professionally and promptly, collaborating with HR and the Property Team when necessary.
• Conduct regular meetings or communications with accommodation staff/lodge managers to address any issues, provide necessary training, and foster a positive work environment.

This role may require you to support the Property team and wider store team when needed.

What You Need to Succeed 

• Proven experience in a similar role, preferably in managing employee accommodations, hotels/hostels or residential properties.
• Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
• Excellent interpersonal and communication skills to interact with staff members, vendors, and other stakeholders.
• Ability to handle and resolve conflicts or issues diplomatically and professionally.
• Proficiency in using computer applications and software for record-keeping and communication purposes.
• Flexibility to work evenings, weekends, and holidays when necessary to address urgent matters or emergencies.
