Who We’re Looking For 
VPL is looking for an awesome Office + Employee Experience Coordinator to join our HR team who thrives on organization, loves creating great experiences for people, and takes pride in making things run smoothly behind the scenes, this role is on-site in Westerville, OHYou’ll be the go-to for all things office operations, while also playing a big role in shaping the employee experience across VPL. From keeping the office running like a well-oiled machine to making sure our remote team feels just as connected, this role is all about creating an environment people want to be part of. If you’re someone who notices the little things, solves problems before they become problems, and enjoys bringing a bit of energy and fun into the workplace this is your role. 

 

What You’ll Do 

Office Operations & Workplace Management (Primary Focus) 

  • Own and manage the day-to-day operations of the office to keep everything running smoothly  
  • Be the main point of contact for all office related needs (if something’s off, you’re on it)  
  • Keep the office stocked, organized, and welcoming. Snacks included (arguably the most important part)  
  • Maintain shared spaces like the kitchen, conference rooms, and common areas so they’re always ready for use  
  • Manage incoming mail, packages, and deliveries  

Logistics, Vendors & Office Systems 

  • Partner with building management to handle maintenance requests and office needs  
  • Manage vendor relationships (Verizon, FedEx, office suppliers, etc.)  
  • Coordinate deliveries, services, and recurring office needs  
  • Keep things running efficiently (and cost-effectively)  

Hybrid Workplace & Employee Experience 

  • Help create a consistent and engaging experience for both in-office and remote employees  
  • Coordinate onboarding logistics (welcome materials, shipping equipment/swag)  
  • Partner with HR and IT to make Day 1 smooth and organized for every new hire  
  • Support remote employees by coordinating shipments, recognition moments, and company touchpoints  
  • Keep a pulse on what’s working (and what’s not) and suggest ways to improve the employee experience  

Employee Engagement & Culture 

  • Plan and coordinate office lunches, team events, and engagement activities  
  • Help keep our employee run committees on the right path (fun team, community involvement, and wellness) 
  • Help bring energy to the office and create moments that make people enjoy coming in  
  • Support a culture that feels welcoming, inclusive, and connected  

Meetings, Events & Office Experience 

  • Coordinate logistics for in-office meetings, leadership visits, and company events  
  • Set up and reset spaces so everything runs smoothly  
  • Support all-hands, team gatherings, and occasional special events
