At Sandalwood Engineering & Ergonomics, we are seeking a highly organized and detail-oriented Project Documentation Analyst to manage the technical information and administrative workflows of a specialized industrial engineering project.

Partnering with a top-tier manufacturing client, you will be responsible for standardizing data, controlling document quality, and managing the digital approval processes for maintenance tasks

  • Bachelor’s degree in industrial engineering, Business Administration, Systems Engineering, or a related field.
  • Advanced proficiency in data management, specifically handling large data sets and structuring information in Microsoft Excel.
  • Intermediate to Advanced English proficiency (B2 Level minimum) to manage technical documentation and client-specific systems.
  • Experience in document control, quality auditing, and managing digital signature platforms (e.g., DocuSign).
  • Exceptional organizational skills and high attention to detail to ensure zero formatting errors in technical deliverables.
  • Strong communication skills to coordinate between on-site engineering teams and client stakeholders.
  • Proactive mindset with a proven ability to identify administrative bottlenecks, streamline workflows, and propose workload distribution strategies to avoid operational delays.

Tasks assigned / Work priorities:

  • Manage and continuously update the master maintenance database ("Sábana de Mantenimiento") to ensure asset taxonomy homologation and data accuracy.
  • Conduct strict Compliance Checks on all drafted Visual Job Plans (VJPs) to ensure adherence to the mandatory client visual standard, verifying headers, data blocks, and standardized iconography.
  • Coordinate and execute Project Tracking for the formal 3-tier digital signature workflow, ensuring timely approvals from Safety Representatives, Maintenance Supervisors, and Executing Technicians.
  • Monitor and enforce the 5-business-day Service Level Agreement (SLA) for client review, managing any document rejections, technical comments, or necessary corrections.
  • Provide administrative technical support to compile and securely manage the final Digital Package of signed VJPs (maintaining both editable files and non-editable PDFs with visible digital stamps).
  • Generate and maintain the official Maximo Load and Activation Reports to certify the successful implementation of deliverables in the client's production environment.
