Position Summary

The Executive Assistant to the Founder provides high-level administrative, operational, and personal support to ensure the Founder’s time, attention, and priorities are protected and advanced. This role is responsible for calendar and communications management, executive-level coordination, business administration, and selected HR/people-operations tasks.

Operating within a fast-paced e-commerce business, the Executive Assistant must thrive in a dynamic environment with many moving parts—vendors, partners, customer needs, marketing initiatives, fulfillment coordination, and internal workflows. The ideal candidate is resourceful, proactive, and detail-oriented, with a continuous-improvement mindset that identifies friction, tightens systems, and makes the business more organized, predictable, and scalable.

Confidentiality is paramount: this role will handle sensitive personal, financial, HR, and business information and requires strict discretion.

Key Responsibilities

  • Executive Support
    • Manage Founder’s calendar, appointments, and travel logistics.
    • Screen, prioritize, and draft communications (email, calls, messages).
    • Prepare briefing materials, agendas, and follow-ups for meetings.
  • Business Operations
    • Coordinate with vendors, partners, and internal teams to ensure smooth workflows.
    • Track deliverables, deadlines, and project milestones.
    • Support marketing, fulfillment, and customer service initiatives as needed.
  • Administrative & HR Support
    • Assist with onboarding, documentation, and people-operations tasks.
    • Maintain confidential records and files.
    • Support budgeting, reporting, and operational documentation.
  • Continuous Improvement
    • Identify inefficiencies and propose streamlined processes.
    • Implement organizational systems to improve scalability and predictability.

Qualifications

  • Education & Experience
    • Bachelor’s degree preferred (Business Administration, Communications, or related field).
    • 3+ years of experience in executive assistance, operations, or business administration.
    • Experience in e-commerce or fast-paced entrepreneurial environments is a plus.
