Responsibilities:
- Provide business and administrative support to executive teams, including calendar management, appointments preparation, handling ad-hoc requests, coordinating priorities;
- Provide personal and business support to a top-manager, including calendar management, meeting coordination, handling correspondence, and execution of an ad-hoc personal and business-related tasks;
- Support senior management with complex administrative tasks and special projects when required;
- Oversee day-to-day administrative operations, including documentation flow, calendars, and office coordination, ensuring smooth support;
- Coordinate internal and external communications, including emails, phone calls, visitors, and official correspondence;
- Ensure effective document management and filing systems, controlling accuracy, confidentiality, and easy access to key information;
- Coordinate office management activities, including supplies procurement, vendor coordination, and interaction with external service providers when required;
- Continuously improve administrative and office processes, ensuring consistent service standards;
- Ensure confidential handling of sensitive and corporate information.
- Proven experience as a Office Secretary, Office Manager or Personal Assistant;
- Demonstrated experience in coordinating administrative activities, calendar management ;
- Excellent organizational, time-management, and prioritization skills;
- Strong written and verbal communication skills in Russian and English (additional languages are a strong advantage);
- Proficiency in MS Office (Word, Excel, Outlook) and office management tools;
- High attention to detail, accuracy, and process orientation;
- Ability to multitask effectively in a fast-paced, multi-office environment;
- Professional, proactive, and service-oriented approach;
- Preferred: Diploma or degree in Business Administration or a related field.
