OUR VISION FOR THE ROLE:
JUMP! Foundation is seeking a passionate and detail-oriented Logistics Coordinator to join our dynamic team. You'll play a vital role in supporting the successful delivery of our impactful JUMP! Experiences programs. As an expert operator, you will liaise with local partners, display exceptional problem solving skills, and serve as the lead on operational excellence to ensure seamless program experiences for all stakeholders while contributing to continuous improvement in operations through the development and innovation of program design and logistics.
WHAT DOES SUCCESS LOOK LIKE?
Strategic Partnership & Vendor Management:
- Vendor Negotiation & Partnership Development: Negotiate competitive rates and terms with vendors for program locations, accommodation, transportation, and catering services. Foster collaborative relations with local providers, contributing to community and partnership development within program locations; achieving net positive results for all stakeholders.
- Booking & Payment Requests: Manage the booking and payment process for all program logistics, ensuring timely and accurate transactions.
- Purchase Orders & Vendor Contracts: Prepare and manage purchase orders and vendor contracts, ensuring compliance with JUMP! policies and procedures.
- On-Program Logistics Coordination: Provide on-site support and oversight for program logistics, ensuring smooth program delivery and adherence to safety protocols.
Program Design & Optimization:
- Program Materials: Procure, maintain, and assign program materials, including facilitation equipment, outdoor gear, first-aid kits, and program merchandise.
- Program Systems & Template Management: Develop and manage program templates using Google Workspace tools (e.g., Docs, Sheets) to streamline operations and ensure consistency.
- Pre-Program Site Visits: Oversee pre-program site visits, design itineraries, budgets and conduct inspections and completing comprehensive reports and risk assessments to identify and address potential issues.
- Program Monitoring & Evaluation: Coordinate monitoring and evaluation activities for all programs, ensuring data collection and reporting accuracy.
- Review & Improvement: Review End-of-Program reports and other feedback mechanisms to identify areas for program improvement and contribute to the ongoing development of program design.
Financial Management & Support:
- Program Finances Reviewer & Coordinator: Support program managers and the JUMP! Finance team by reviewing program expense reports, coordinating transfer requests for program payments, and overseeing program-related float requests.
REQUIRED QUALIFICATIONS, SKILLS & EXPERIENCE:
- Bachelor's degree in a related field (e.g., Event Management, Project Management, Education) preferred.
- Prior experience in program design, logistics, or operations management.
- Proven experience in vendor negotiation, contract management, and budget oversight.
- Strong understanding of project management principles and best practices.
- Proficiency in Google Workspace applications (Docs, Sheets, Slides) and program management software (a plus).
- Excellent written and verbal communication skills in English, with the ability to tailor messages to diverse audiences.
- Fluency in Thai language (reading, writing, and speaking) is required.
- Highly organized and detail-oriented with a proactive approach to problem-solving.
- Ability to manage multiple deadlines, competing priorities, and a fast-paced environment.
- Strong interpersonal skills with the ability to build rapport and collaborate effectively with a diverse range of stakeholders, including local partners, program participants, and JUMP! staff.
- Ability to travel regionally as required to support program delivery.
