We are seeking a detail-oriented PMO Coordinator to support project governance, tracking, and reporting across multiple initiatives. This role will act as the central point of coordination between project managers, operations teams, and key stakeholders, ensuring accurate project visibility, timely updates, and adherence to established PMO processes.
The ideal candidate will have strong experience in project coordination, reporting, and stakeholder management, with hands-on expertise in Smartsheet and project tracking tools. You will play a critical role in maintaining project data integrity, monitoring progress, identifying risks, and enabling informed decision-making through effective reporting and governance.
Key Responsibilities
- Maintain and update project plans, timelines, trackers, dashboards, and reporting frameworks using Smartsheet.
- Capture real-time project updates from project managers, operations teams, and stakeholders to ensure accurate project visibility.
- Track project milestones, dependencies, action items, risks, issues, and deliverables across multiple projects simultaneously.
- Support PMO governance by preparing project status reports, management dashboards, and executive presentations.
- Ensure compliance with project management standards, reporting templates, and governance processes.
- Coordinate with cross-functional teams to gather project updates, monitor progress, and escalate delays or risks when necessary.
- Maintain project documentation, audit trails, and version control to ensure data accuracy and consistency.
- Support change management activities by tracking scope changes, timeline updates, and project deliverables.
- Monitor project performance metrics and provide actionable insights to support decision-making.
- Identify opportunities to improve project tracking processes and support automation of reporting workflows and alerts.
What Makes You a Great Fit
- 2โ5 years of experience in PMO support, project coordination, or operations tracking roles.
- Strong hands-on experience with Smartsheet and project reporting tools.
- Proficiency in MS Excel, PowerPoint, and project management platforms.
- Excellent attention to detail with a strong focus on data accuracy and governance.
- Ability to manage multiple projects, priorities, and stakeholders in a fast-paced environment.
- Strong analytical, organizational, and follow-up skills.
- Effective communication and stakeholder management capabilities.
- Experience in supply chain, logistics, warehousing, or operational environments is an added advantage.
