Position Overview
This role is the operational leader of Duly's supply chain — accountable for ensuring that every clinic, department, and care team has access to the drugs and supplies they need, when they need them, at the right cost. This leader owns the full procure-to-receive lifecycle: buying, receiving, warehousing, inventory, and facility management across all sites of care.
This is a hands-on leadership role that demands equal parts operational rigor and strategic thinking. The Director leads a team of buyers, receiving staff, and warehouse and inventory professionals, setting performance standards and building a culture of accuracy, accountability, and service. They are the primary operational escalation point when supply availability is threatened, when inventory levels drift out of acceptable range, or when pricing changes create risk to patient care protocols or financial margins.
Core Responsibilities
Buying & Purchasing Operations
Lead the day-to-day purchasing function, ensuring all buying activity is executed accurately, compliantly, and in alignment with contracted suppliers, approved product lists, and clinical protocols.
Direct the buying team in executing purchase orders across clinical, pharmaceutical, and administrative supply categories for all Duly sites
Ensure all purchasing activity aligns with active contracts, GPO agreements, and approved formularies — escalating non-conforming orders and driving corrective action with department managers
Oversee PO accuracy, including product specifications, quantities, pricing, and delivery requirements — ensuring every order placed is audit-ready and financially controlled
Establish and enforce purchase authority frameworks and approval workflows that balance operational speed with financial accountability
Monitor backorder and supply disruption queues daily; proactively source alternative products and coordinate clinical approval for substitutions when primary sources are unavailable
Maintain and continuously improve the organization's order guides, ensuring they reflect current contracts, formulary decisions, and site-level operational needs
Inventory Management & Supply Availability
Own the integrity of Duly's inventory across all sites — ensuring par levels are right-sized to clinical demand, variances are investigated and resolved.
Set, maintain, and regularly review par levels for all supply and pharmaceutical categories at each site, using consumption data and clinical input to ensure levels reflect actual demand without excess waste or stockout exposure
Lead periodic physical inventory counts and cycle counts; investigate and resolve variances between system records and actual on-hand quantities
Oversee all warehousing operations including layout, slotting, storage conditions, security, and access controls across central warehouse and satellite storeroom locations
Lead receiving operations across all Duly locations, setting staffing, workflow, and accuracy standards that keep inbound supply moving without bottlenecks
Monitor real-time inventory positions across all locations, proactively identifying and resolving low-stock, overstock, and near-expiry situations before they affect care delivery
Manage drug shortage response operations — including shortage monitoring, clinical notification, allocation decisions, and sourcing alternatives in partnership with pharmacy and clinical leadership
Drive waste reduction initiatives including expiring product management, returned goods processing, and standardization of product usage across sites
Monitor supplier pricing notifications, GPO bulletins, and contract amendments for price changes across the full supply and pharmaceutical portfolio
Assess the financial impact of pricing events and work with Strategic Sourcing to develop mitigation strategies
Facilities Management and Operations
Supports organizational leadership to develop and implement standard practices for all things facilities and bio-med departments
Ensure bio-medical/clinical engineering is optimal across the business units with minimal downtime and contingency plans developed
Manage facility operations through organizational employees, contract services, and working closely with Landlords on leased sites to ensure operations are not impeded and adhere to Duly brand of excellence
Ensures Real Estate and Operations are supported across all facets of facilities management
Owns the Duly process for facilities and equipment maintenance not limited to; ticketing system for work orders, uptime for both facilities and equipment, energy costs, contract maintenance for owned and leased facilities, equipment installs and deactivations, refrigeration requirements
Ensure contingency plans are in place for all facility and equipment needs to ensure operations are unimpeded
Plays a critical role in Strategic growth for the organization from a supply chain expense lens, as well as optimizing space utilization across different practices and specialties
Team Leadership & Operational Excellence
Lead, develop, and retain a high-performing operations team setting clear expectations, providing regular coaching, and building depth across all functions
Define and maintain standard operating procedures for all supply chain operations functions; ensure consistency across sites and build a culture of disciplined process adherence
Establish a performance management framework with meaningful KPIs for each team member.
Drive continuous improvement across all operational workflows, championing technology enablement and process redesign that reduces manual effort and improves accuracy
Partner with HR on hiring, onboarding, performance management, and workforce planning to ensure appropriate staffing levels and skill mix across the operations team
Qualifications
15+ years of progressive supply chain or procurement operations experience, with at least 3–5 years in a healthcare setting
Demonstrated leadership experience managing teams across multiple operational functions (buying, receiving, warehousing, and/or inventory)
Deep knowledge of healthcare supply chain operations including formulary management, par methodology, and GPO contract structures
Experience managing pharmaceutical and/or medical/surgical supply categories, including controlled substance handling and cold-chain requirements
Proficiency with ERP and supply chain management platforms (e.g., Lawson, Infor, Oracle, Workday) and P2P systems (e.g., Coupa, Ariba)
Strong analytical skills with advanced Excel capability; experience with inventory analytics tools or dashboards
Familiarity with healthcare regulatory requirements including DEA, Joint Commission, OSHA, HIPAA, and state pharmacy board standards
Excellent communication skills — able to present operational findings and financial implications to clinical and executive audiences
Bachelor's degree in Supply Chain, Healthcare Administration, Business, or a related field MBA or graduate degree in a relevant discipline a plus

The compensation for this role includes a base pay range of $146,706 - $220,064 with the actual pay determined by factors such as skills, experience, education, certifications, geographic location, and internal equity. Additional compensation may be available through shift differentials, bonuses, and other incentives. Base pay is only a portion of the total rewards package.
