Assurer un support organisationnel et documentaire efficace pour les départements de Gestion des personnels chantiers, Gestion des projets et EHS, afin de faciliter la coordination des activités, le suivi des projets et la conformité administrative.

Main Mission
Provide effective organizational and documentary support to the Site Personnel Management, Project Management and EHS departments in order to facilitate activity coordination, project monitoring and administrative compliance.

Job Description

Responsabilités principales

Support administratif général

  • Gérer les agendas, organiser les réunions et rédiger les comptes rendus.

  • Organiser les visites professionnelles corporatives.

  • Gérer les communications internes et externes pour l’équipe service.

  • Assurer l’accueil administratif des nouveaux collaborateurs.

  • Maintenir à jour les bases de données et les fichiers administratifs.

Support Personnels Chantier:

  • Traitement des heures travaillées pour la paie

  • Mise à jour des niveaux de compétences dans Salesforce

  • Soutien global au chantier (flotte des véhicules, outils)

Support Gestion de Projets

  • Classification des rapports chantier et suivi des approbations

  • Création des clients dans SAP

  • Archivage des certificats d’exemption de taxes

  • Extraction at archivage hebdomadaire des rapports SAP

  • Taches connexes liés aux outils informatique de gestion

Support EHS (Santé-Sécurité)

  • Assurer le suivi administratif des documents EHS.

  • Suivi des documents requis pour les dossiers de qualifications clients sur des différents platformes (demandes d’assurance, insertion des politiques et procédures EHS, profile CNESST…)

Profil recherché

Formation

  • en gestion administrative, management ou équivalent

Expérience

  • 2 à 5 ans d’expérience en support administratif

  • Expérience dans un environnement technique, industriel ou projets fortement appréciée

Compétences

Compétences techniques

  • Maîtrise des outils bureautiques (MS Office: Excel, Word, PowerPoint, Outlook)

  • Bonne capacité de gestion documentaire

  • Connaissance des environnements projets et techniques (atout)

  • Notions EHS (Environnement Sante Sécurité) appréciées.

  • Sens de l’organisation et gestion des priorités

  • Rigueur, discrétion et fiabilité

  • Capacité à travailler avec plusieurs départements

Key Responsibilities

General Administrative Support

  • Manage calendars, organize meetings and write minutes.
  • Organize corporate and professional visits.
  • Manage internal and external communications for the service team.
  • Handle the administrative onboarding of new employees.
  • Keep databases and administrative files up to date.

Site Personnel Support:

  • Process hours worked for payroll
  • Update skill levels in Salesforce
  • Provide overall site support (vehicle fleet, tools)

Project Management Support

  • Classify site reports and track approvals
  • Create customer profiles in SAP
  • Archive tax exemption certificates
  • Extract and archive SAP reports weekly
  • Perform related tasks involving IT management tools

EHS (Environment, Health and Safety) Support

  • Manage the administrative tracking of EHS documents.
  • Track the required documents for customer qualification files on different platforms (insurance requests, uploading of EHS policies and procedures, CNESST profile, etc.)

Qualifications

Education

  • Background in administrative management, business administration or equivalent

Experience

  • 2-5 years of experience in administrative support
  • Experience in the technical, industrial or project environment is highly preferred

Skills

Technical skills

  • Proficiency in office software (MS Office: Excel, Word, PowerPoint, Outlook)
  • Strong document management skills
  • Familiarity with project and technical environments is a plus
  • Working knowledge of EHS (Environment Health Safety) concepts is appreciated.
