About the Position

This position is the first point of contact for all public records requesters – by telephone, mail, email, kiosk, and in-person. As the Administrative Specialist, you will be responsible for logging requests in the tracking system, conducting related research, and communicating with requesters as needed to clarify and finalize requests.  

The Administrative Specialist will have the opportunity to interact with all members of the office, including the Executive staff, attorneys, detectives, and administrative staff, to confirm requests, seek assistance with records, and identify non-traditional records. You will work on public records assignments using considerable independent judgment, critical thinking skills, and a high level of attention to detail.

About the Civil Services Division

The Civil Services Division of the Maricopa County Attorney's Office serves as a law firm that provides legal representation and advice to Maricopa County government, including its elected officials, departments, and employees. Our work involves defending legal actions, lawsuits, and claims brought against County entities, to include Section 1983, tort, election, and tax litigation. We also provide legal advice to County officials on a variety of public law topics. Additionally, we process public records requests for the Maricopa County Attorney. Our division has four practice groups: Litigation; Government Advice & Elected Officials; Human Resources, Behavioral Health, & Probate Group; and Appeals, Election Law, Public Records, & Tax.

We Require

  • Two years of experience performing office, administrative, and clerical duties
  • High school diploma or GED

Other Requirements

  • Must possess or have the ability to obtain a valid Arizona driver’s license by the time of hire.
  • The Maricopa County Attorney’s Office requires a thorough background check of all successful applicants and is authorized to test prospective employees for the presence of illegally accessed drugs. Drug testing is conducted once an offer has been extended and before placement.

Job Contributions

  • Provide specialized administrative support to the Custodian of Records, attorneys, paralegals, administrative staff, and public records team members to assist in the processing of public records requests
  • Provide customer service by answering multi-line telephones, responding to general information questions, directing or screening calls, and taking accurate messages
  • Identifies case files and specific prosecution records for requests.   
  • Prepare and process specialized paperwork as directed
  • Utilize the case management database and public records database to log, look up, and retrieve case information
  • Utilize a computer to enter and/or retrieve data into a submittal tracking or time tracking database designed for the office, assigned bureau, or division
  • Assist with special projects; photocopies discovery, records packets, and retrieves/returns closed files to the long-term storage area
  • Receive, greet, and accept requests from the public as they visit the office in person to submit their requests
  • Perform redaction work on print and audio-visual records
  • Some positions may require the use of skills to provide English/Spanish translation

Working Conditions

  • An office setting that may require extended periods of sitting to perform tasks
  • May be required to drive a personal or county-owned vehicle to travel to and from various county locations
  • Ability to move up to 20 pounds from the floor to the waist and push/pull up to 20 pounds a distance of up to 100 feet
  • Upon completion of a successful 6-month period after hire, employees are eligible for telework, which is dependent upon the employee’s position and business needs
