Head of Operations - FinTech

At Reluna, we are building two innovative AI-driven FinTech platforms:

• Reluna Wealth Management – intelligent tools for portfolio management and financial operations
• Reluna Family Governance – a digital platform helping families govern their wealth, values, and legacy across generations.

We are seeking a Head of Operations to ensure seamless day-to-day execution across both projects. Reporting directly to the CEO, this role focuses on operational excellence and execution, process efficiency and cross-functional coordination, team leadership, financial oversight and regulatory compliance without direct ownership of Engineering, Product, Commercial strategy or Business Development.

This is a senior leadership role for an experienced operator who builds capable teams, sets clear direction and ensures the business runs smoothly without micromanagement.

Key Responsibilities

Business Operations and Leadership

• Translate company strategy into executable operational plans and priorities
• Develop, implement and manage efficient operational processes and workflows
• Define, create and maintain operational dashboards, KPIs and other metrics and track progress against targets
• Leverage AI and automation tools to drive operational efficiency
• Identify inefficiencies and implement data-driven improvements
• Manage vendor relationships, contracts and external service providers, including specialised vendors such as financial data providers (e.g. Refinitiv/LSEG) and payment infrastructure (e.g. Stripe) - owning access, licensing, contract terms, reporting and reconciliation

Cross-Functional Coordination

• Act as the operational bridge between teams (IT, Finance, Compliance, Legal, HR)
• Facilitate communication and remove blockers across departments and projects
• Ensure clear ownership, accountability and performance management within and across teams
• Run operational planning and status meetings
• Set clear direction and ensure accountability across teams
• Foster a culture of ownership and accountability

Financial Management and Reporting

• Oversee the company finance function, including budgeting, forecasting, cash flow, financial controls and reporting with support from established team leads
• Monitor financial and operational performance and drive corrective actions where required
• Provide clear, accurate financial and operational reporting to the CEO and Board
• Support board-level discussions with data-driven insights and clear recommendations

Administrative & Resource Management

• Oversee office management, facilities, and administrative functions
• Manage operational budgets and cost control
• Ensure business continuity processes are in place

Compliance, Risk and Governance

• Own operational compliance across the business, ensuring adherence to regulatory requirements, internal policies and governance standards
• Manage corporate housekeeping and the lifecycle of group entities across jurisdictions (Cyprus, UAE, Serbia and others) - incorporations, restructurings, liquidations and intra-group transactions, including IP transfers and intercompany agreements - in coordination with external legal, tax and corporate service providers
• Coordinate statutory audits across the group, acting as the primary liaison with auditors, and drive resolution of audit findings and legacy balance-sheet items (intercompany loans, write-offs, provisions) together with finance leads
• Maintain internal controls and audit readiness
• Coordinate operational aspects of regulatory reporting
  

Requirements

• 7+ years of experience in senior operational leadership roles within FinTech, SaaS or regulated technology businesses in the UAE and Cyprus
• Proven track record of building and optimizing processes in fast-paced environments
• Proven experience leading and managing multi-disciplinary teams
• Strong finance background, with direct responsibility for overseeing a company finance function
• Strong understanding of how to leverage AI and automation tools to improve efficiency
• Ability to execute at pace while maintaining control, structure and discipline
• Strong leadership presence, sound judgment and clear decision-making skills
• Excellent communication and stakeholder management capabilities
• Hands-on approach – comfortable operating at both strategic and execution level
• Fluency in English and Russian languages at business professional capacity
• Based in Nicosia, Cyprus or willing to relocate

Nice to Have

• Experience in wealth management, family office or regulated financial environments
• Knowledge of compliance and regulatory frameworks in Cyprus (CySEC) and UAE (DFSA, ADGM, VARA)
• Familiarity with project management and collaboration tools (Jira, Notion, Asana, Slack, etc.)
• Understanding of local business practices and vendor landscape in Cyprus and UAE
• Hands-on experience with AI tools (ChatGPT, Claude, Copilot, etc.) for operational efficiency
