This position will report directly and serve the Graduate Nursing Director and graduate faculty to aid in carrying out programmatic operations. This position is critical to the mission of the University as it will directly support the graduate programs of the College of Nursing. This position would be responsible for administrative, organizational, data entry, data verification, and general customer service to the graduate program and other units within the CON as needed. Primary location is CON in the Texas Medical Center but may be asked to attend and participate in work related activities on main campus-PVAMU.
The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position.
Responsibilities:
- General administrative and clerical support such as greets visitors, answers and screens calls, provides information and referrals, and schedules appointments. Receives, sorts, and routes mail and performs other mail services. Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies. Performs word processing, desktop publishing, presentation, and data management activities and assists staff with these applications. Composes correspondence, reports, publications, and presentations, including editing and proofreading.
- May serve as a liaison for departmental equipment and service contracts. May participate in the hiring training, and supervision of student workers and other support staff.
- Completes the undergraduate and graduate course schedules.
- Conducts Course add/drops, administrative course clean-ups and course overrides.
- Performs graduation audits for the College of Nursing graduate and undergraduate programs.
- Posts information to agency records and modifies forms or records. Verifies, processes, and reviews forms, reports, and other documents. Arranges meetings, appointments, conferences, and travel.
- Maintains office supplies and equipment for the College of Nursing. Maintains office reference materials including online office materials. May deliver, pick up, documents, supplies, equipment, or materials.
- Will serve as support for the Enrollment Management Committee, assist with student scholarship process and other committees as assigned. Coordinates graduate admissions with the Office of Graduate Studies. Initiate communications and follow-up with perspective students.
- Manage and reproduce course materials, correspondences, grant, proposals, etc., for the College of Nursing; type and reproduce annually the Faculty and Student Handbooks.
- Support College of Nursing events, i.e. Pinning, Convocation, graduation, graduate workshops.
- Performs other duties as assigned.
Required Education and Experience:
- High school diploma or equivalent combination of education and experience.
- Three years of related experience.
Required Knowledge, Skills and Abilities:
- Knowledge of word processing, spreadsheet, and database applications.
- Ability to multitask and work cooperatively with others.
- Strong verbal and written communication skills.
- Ability to work with sensitive information and maintain confidentiality.
- Strong interpersonal and organizational skills.
Preferred Qualifications:
- Associate or bachelor's Degree.
- Five years or more of related experience.
- Knowledge of student information systems, degree planning, and degree audits.
- Excellent customer service skills.
- Knowledge of or willingness to learn Twitter, Facebook, Instagram, LinkedIn, and other university and college-supported platforms.
- Professional, dependable and able to work with little supervision and in teams.
- Ability to work with sensitive information and maintain confidentiality.
