Job Summary

Woods Hole Oceanographic Institution is currently seeking a Scientific Operations Coordinator to join the National Ocean Sciences Accelerator Mass Spectrometry (NOSAMS) facility. This position is a regular, full-time, onsite role and is eligible for full benefits.

The Scientific Operations Coordinator plays a key role in supporting the day-to-day operations of the NOSAMS facility. This position develops a strong understanding of NOSAMS laboratory processes through hands-on work and uses that knowledge to coordinate sample workflows, communicate with clients, and contribute to reporting and operational processes. This role is well suited for a detail-oriented, proactive, and organized individual who enjoys working across laboratory and operational settings. It offers opportunities for growth in both technical and operational areas, with increasing responsibility over time based on experience and interests.

Job Description

Essential Functions & Duties

  • Coordinate and track sample intake and processing workflows, including account setup, purchase orders, documentation review, and maintenance of accurate, organized records.

  • Support laboratory operations through preparation and processing of samples, including routine use of vacuum lines, chemical pre-treatment, and tracking sample workflows.

  • Prepare and issue invoices, track payments, and follow up on outstanding balances.

  • Serve as a point of contact for external clients, responding to inquiries related to sample submission, pricing, and turnaround times

  • Carry out general administrative and operational functions, including recordkeeping, meeting coordination, and use of internal systems (e.g., financial and procurement platforms).

  • Contribute to communication and outreach activities such as newsletters or website updates, as needed.

  • Contribute to a collaborative team environment and perform other duties in support of NOSAMS operations.

Required Qualifications

  • Bachelor’s degree in a scientific field (e.g., chemistry, environmental science, oceanography) or equivalent combination of education and experience.

  • 2+ years of progressively responsible experience in scientific or operations setting, with increasing independence and accountability.

  • Demonstrated ability to manage complex workflows with a high degree of accuracy and attention to detail, particularly in environments involving data, samples, or financial tracking.

  • Strong quantitative and analytical skills, with experience working with spreadsheets, budgets, or tracking systems.

  • Proven ability to manage multiple responsibilities independently, prioritize effectively, and follow through on tasks with minimal supervision.

  • Excellent written and verbal communication skills, with the ability to convey technical information clearly to a range of audiences.

  • Comfort working in both laboratory and office-based settings, with a commitment to maintaining safety and procedural standards.

Preferred Qualifications

  • Experience with laboratory sample processing or wet chemistry techniques.

  • Familiarity with budgeting, invoicing, or financial tracking.

  • Experience working with databases or data management systems.

  • Prior experience in a client-facing or customer service role.

  • Interest or experience in scientific communication, outreach, or marketing (e.g., newsletters, web content).

Additional Job Requirements

Salary Range: $56,828 - $73,213

Internal hiring level: Research Assistant III

The salary range provided for this position reflects the expected minimum and maximum base pay for new hires. Actual compensation will be determined based on factors such as relevant skills, experience, and qualifications, as well as internal equity and market conditions. In addition to base salary, eligible employees also receive a comprehensive benefits package.
