Role Overview
Weβre looking for a full-time Marketing Coordinator / Front Desk role to support local brand visibility, patient engagement, in-clinic activations, and an exceptional client experience at Body+Beauty Lab. This is a hands-on, execution-focused role that blends social media content creation and event coordination with front desk sales, patient relationship management, and daily clinic operations. The ideal candidate is organized, creative, and personable β equally comfortable on camera capturing content as they are greeting clients and driving appointment bookings.
Locations This is a full-time position supporting both Pennsylvania locations. The ideal candidate is able to travel between: Philadelphia: 834 Chestnut St, Philadelphia, PA 19107 St. Davids: 595 E Lancaster Ave, Saint Davids, PA 19087
Duties & Responsibilities
- Social Media & Content Creation
- Plan, create, and publish content across Instagram and other relevant platforms in alignment with brand guidelines
- Capture on-site content including provider moments, treatment highlights, before-and-afters, and clinic culture
- Partner with providers to support and encourage organic, provider-led content creation
- Monitor engagement and respond to comments and DMs in a timely, on-brand manner
- Event Coordination
- Plan and execute in-clinic events and local activations with clearly defined logistics and outcomes set by Clinic Leadership
- Manage event RSVPs, guest communications, and day-of coordination
- Track attendance and outcomes; deliver post-event recaps to Clinic Leadership
- Support outreach to local businesses, brand partners, and community organizations to drive awareness and referrals
- In-Clinic Marketing Support
- Ensure promotional materials, signage, and treatment menus are current and on-brand
- Support execution of campaigns, seasonal promotions, and limited-time offers as directed by Clinic Leadership
- Respond to incoming leads within the CRM, conduct initial outreach, and convert to appointment
- Front Desk & Client Experience
- Greet and check in patients; create a warm, professional first impression
- Manage appointment scheduling, follow-up calls, and booking of return visits for all clients
- Enroll clients in memberships, packages, and provider promotions; process payments and offer payment plan options
- Perform skincare analyses and product demonstrations; assist guests in selecting appropriate services and retail
- Assist with tracking guest data, completion of consent forms, and maintenance of accurate client records
- Develop lasting relationships with existing guests while continuously engaging and recruiting new guests
- Maintain overall office and retail area cleanliness; keep fixtures clean and fully stocked with merchandise
- Assist with inventory management as directed
Requirements
- 2+ years of experience in social media content creation, marketing, event coordination, retail, or client-facing service
- Proficiency with Instagram, including Reels creation, scheduling tools, and basic analytics Proficiency with Canva or similar design tools for creating on-brand marketing assets
- Experience capturing and editing short-form video content for social media
- Comfortable on-camera and experienced supporting or directing provider content capture
- Strong front desk or retail sales skills with a track record of converting consultations to bookings
- Excellent communication and patient service skills β both in-person and by phone
- Highly organized with demonstrated ability to manage multiple projects and deadlines simultaneously
- Flexible availability including occasional evenings and weekends for onsite and offsite events
- Reliable transportation and ability to travel between clinic locations (Philadelphia and St. Davids)
- High school diploma required
Preferred Qualifications
- Experience in a med spa, dermatology, wellness, or aesthetic clinic setting
- Familiarity with Zenoti or similar practice management / scheduling software
- Experience with CRM platforms and basic lead management (specific platform training provided)
- Existing relationships with local businesses, brands, or community organizations in the Philadelphia area
- Experience collaborating with corporate marketing teams or national brand partners
Compensation

Physical Requirements
- Ability to work on-site and move throughout the clinic environment
- Ability to lift up to 50 lbs (event materials, signage, boxes, inventory)
- Ability to stand or remain mobile for extended periods during events, content shoots, and front desk shifts
