About this role

POSITION SUMMARY

The Lodge Manager is the live-in manager of a staff accommodation lodge. This entails supervising the lodge and its occupants, maintenance work such as small repairs, removal of snow, distribution of kerosene for the heaters, implementing a cleaning and recycling roster for the lodge residents to complete, ensuring lodge residents have a safe and hospitable home. This role involves working cohesively with lodge occupants, other lodge managers and HR for oversight.


POSITION DUTIES & RESPONSIBILITIES

  • Picking up staff from their arrival points and welcoming staff as they arrive into Hakuba to show them their room.
  • Ensuring lodge occupants deal with each other respectfully and maintain a safe community within the lodge.
  • Maintenance work around the lodge such as small repairs, snow removal and kerosene heating maintenance.
  • Implementing lodge rules as per the rules established by HR and ensuring these rules are followed by residents.
  • Creating and implementing a fair and regular cleaning roster so all residents are responsible to assist in maintaining a clean lodge.
  • Implementing a recycling procedure and educating residents on this procedure.
  • Pre and post duties on the lodge which includes setting up and packing down of the lodge.
  • Assisting staff needs, including if injured or ill and requiring transportation to local medical clinics.


GENERAL DUTIES


Daily:

  • Ensure tasks and duties are performed in compliance with accepted work-safe practices, procedures, and legislated health and safety standards of Japan.
  • Be proficient in lodge communication and safety response protocols / procedures
  • Verify status of any work-related or staff accidents immediately, and ensure proper documentation protocols are in place and completed in a timely manner
  • Work to continually note improvable areas of operational aspects; communication, recruitment, training, performance reviews, record keeping, safety practices, staff accommodations, Etc.
  • Be approachable and available to lodge occupants to assist in resolving any issues, queries, questions, conflict resolution between lodge occupants
  • Assisting lodge occupants if unwell/injured by transporting to local medical clinics. Report injuries and illnesses to HR
  • Rubbish removal including emptying all lodge bins, implementing and educating lodge occupants on the recycling procedures
  • Monitor kerosene usage and refilling of kerosene tanks
  • Completing lodge maintenance as needed
  • Ensure the smooth operation of staff dining areas and meal times
  • Reporting major maintenance to HR and assisting to complete this maintenance
  • Completing some lodge cleaning in communal areas and monitoring the completion of the cleaning roster
  • Clearing or snow and ice both overhead and underfoot to ensure occupant safety
  • Monitoring fire safety
  • Assist HR as needed to meet lodge occupant needs
  • Be available to assist in after hours emergency or crisis situations, should one arise.


 Weekly:

  • Ensure cleaning roster has been completed
  • Monitor waste and rubbish collection
  • Monitor deliveries of supplies and report anything requiring restocking to HR
  • Monitor staff accommodation issues by communicating with HR
  • Monitor signage around lodges
  • Monitor fire safety, including displayed evacuation plans and available fire extinguishers at all times
  • Ensure lodge occupants are aware of safety protocols and any changes to the lodges
  • Monitor boilers and internal heating (if required) 


Seasonal:

  • Ensure staff accommodations are in working order and yearly safety inspections have been performed
  • Manage staff arrival at lodges, including collection of lodge occupants from train station/bus terminal
  • Set up of all bedrooms and communal spaces
  • Manage staff departures including bedroom checks for bond return and transporting staff to train/bus stations
  • Manage pack-down of lodge at the end of season
  • Work to improve lodge procedures, staff arrival and departures
