This entry-level Administrative Assistant role will assist with reception duties, mail distribution, setting up conference rooms, and office maintenance. You will also provide overflow support to our intake, records, and pre-litigation departments, as needed. This is a great opportunity for administrative professionals looking for hands-on training with the ability to grow within the organization.


Responsibilities:

  • Optimize incoming and outgoing mail distribution processes
  • Handle faxing and scanning tasks, ensuring accurate and secure document management
  • Manage a complex filing system
  • Utilize e-filing system
  • Process checks, close addendums and handle deposits accurately
  • Assist receptionist with front desk duties
  • Maintain office supplies and break room essentials
  • Enhance existing practices for preparing conference rooms to ensure a professional and organized meeting space
  • Provide overflow support to Intake, Records and Pre-Litigation Paralegals as needed
  • Assist with office administration
  • Assist management and the EA staff with daily and weekly calendar tasks
  • Maintaining office inventory, placing orders, budget
  • Manage inventory of supplies and place orders within budget constraints
  • Other duties as needed to help drive to our Vision, fulfill our Mission and in line with our Values


Qualifications:

  • Organized, with high attention to detail
  • Ability to maintain confidentiality
  • Proficient in Microsoft Office and comfortable with using different technology tools
  • Capable of working in a fast-paced environment
  • Excellent phone etiquette and communication skills
  • Proactive and positive attitude who has a “no job too small” attitude
  • Ability to lift 25 lbs
  • Previous experience as an administrative assistant or legal secretary, a plus
  • Bilingual in Spanish a plus


Compensation, Benefits & Perks:

  • $20-24/hr based on experience
  • Paid time off (20 days) and 10 paid holidays
