ABOUT JUSTICE DEFENDERS
Picture this: an overcrowded and under-resourced prison full of men, women, or even children who have not been found guilty. This is the case for three million people around the world currently affected by the excessive use of pre-trial detention.
In many countries, suspects are detained in prison almost automatically once they are arrested. Whatever the offence. Some, yes, are guilty. Many are poor and unjustly targeted. At Justice Defenders, we want to see justice served; it’s vital for all of us. What we don’t want to see is people filling our prisons simply because there was no one to equip them to fight for justice.
Justice Defenders is a registered UK charity and US nonprofit. Founded in 2007, we work across Africa, training incarcerated people and prison officers to become paralegals. Our 35 prison-based legal offices in Uganda, Kenya and The Gambia are run by more than 300 paralegals. By equipping justice defenders to facilitate a just legal process, we help ensure a fair hearing at the point of greatest need. As everyone deserves the right to tell their story.
JOB CONTEXT
The Justice Defenders Uganda office is looking for a Business Operations officer, under the guidance and supervision of the Business Operations Manager will assist in various organizational functions, including finance,human resources, procurement, and office administration. This role assists in ensuring the smooth and efficient functioning of these departments.
YOUR RESPONSIBILITIES
Financial Support:
- Assist in financial management managing cash books, expense tracking, document
management and invoice processing.
- Assist with payment processing
- Assist with all audits
- Support in reconciling accounts, processing payments, and managing petty cash.
- Assist with financial reporting and bookkeeping
- Assist with budget preparation
- Assist with filing of statutory returns
Human Resources Support:
- Assist in recruitment by coordinating interviews, preparing job postings, and maintaining
candidate records.
- Assist in maintaining the Human Resources system
- Support with staff and paralegal management
- Support employee onboarding and offboarding procedures, including paperwork and
orientation.
- Assist in maintaining HR records and databases, ensuring accuracy and confidentiality.
- Responsible for record management
- Assist with the preparation of paralegals' payroll
Procurement Support:
- Manage procurement processes by sourcing suppliers, obtaining quotes, and preparing
purchase orders.
- Maintain procurement records and documentation, including contracts and supplier
agreements.
- Support in inventory and asset management.
Office Administration Support:
- Provide administrative support to office operations, including managing correspondence,
scheduling meetings, and organizing office supplies.
- Assist in coordinating office maintenance and repairs, liaising with vendors and service
providers.
- Support in maintaining filing systems and records management for efficient document
retrieval.
- Identify any areas of improvement
YOUR PROFILE
Qualifications and experience
- Should hold a bachelor’s degree in any business-related course.
- Experience in supporting general operations management of support functions
- At least 2 years experience in operations
- Knowledge of HR policies, procedures, and best practices, with an understanding of
employment laws and regulations.
Key competencies and abilities
Have basic knowledge of financial management.
- Experience in basic office administration and procurement
- Excellent interpersonal and communication skills, both verbal and written
- Records management
- Vendor management
- Attention to detail and accuracy in managing financial records, HR documentation, and
compliance requirements.
- knowledge of QuickBooks Online and Excel
- High ethical standards and integrity
- Good negotiation skills
- Supervisory skill
