About this role

We are currently recruiting for a full-time Document/Mail Specialist to work in our Document & Delivery department. The role of this position is to provide mail and delivery related services to the Credit Union on a daily basis, Ideal candidates will be detail-oriented and able to handle multiple tasks at once. 


Responsibilities include, but are not limited to:


  • Pick-up, sort and distribute mail in a timely basis from MHV locations, Post Office and internal departments.
  • Collect and prepare outgoing mail for distribution, maintain logs for trackable packages received from: FedEx, UPS and USPS and maintain the Postage Due and Business Reply accounts. 
  • Maintain credit union records within established guidelines and assist with document shipments, retention and destruction at Iron Mountain.
  • Log and box daily work from the MHV offices and miscellaneous documents for scanning at Iron Mountain and assist with review of information requests/subpoenas for accuracy. 
  • Stock and maintain break-room supplies at CUC and assist with ordering of office supplies as needed.
  • Maintain and operate credit union vehicle, traveling to Post Office, lawyers offices, credit union branches and other locations as needed, maintaining a driving log and keeping the vehicle in good working condition through scheduling routine maintenance.
  • Regularly inform management on any job related delays/problems with document handling, equipment problems and issue with credit union vehicle. Stay current with USPS procedures and regulations as they may effect credit union mailings.


Performance Measurements include:


  • Assuring member service is top priority, which includes treating members and other employees professionally with courtesy and respect and upholding MHV Service Standards
  • Accurately distributes external and internal mail to the correct department/individual in a timely manner.
  • Keeps up-to-date regarding changes with postal regulations and policies.
  • Demonstrates a thorough knowledge of the duties and responsibilities of the position, rarely needing to ask questions. Stays abreast of current trends affecting the financial services industry; has an overall knowledge of the credit union, its policies and procedures.


Knowledge and Skills:


  • One month to twelve months of similar or related experience.
  • A high school education or GED.
  • Work normally involves contacts with persons beyond immediate associates generally regarding routine matters for purposes of giving or obtaining information which may require some discussion. Outside contacts take the form of service to the public (members or vendors) requiring ordinary courtesy in providing assistance and information.
  • Maintain a high degree of confidentiality and discretion, requiring diplomacy and tact in communication.
  • Must have valid driver's license and be able to operate the credit union vehicle and travel independently.
  • Must be able to operate mail equipment and general office equipment and have basic computer/internet skills
  • Is able to bend, sit, and stand in order to perform work.  Repetitive motion requirements and ability to lift/carry up to 50 pounds.
  • Must be capable of climbing / descending stairs in an emergency situation.
  • Normal range of vision and hearing abilities required.
  • Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators.
  • Must be able to routinely perform work on computer for an average of 6 8 hours per day, when necessary.
  • Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance.
  • Work is generally performed within an office environment, primarily in a climate-controlled environment with minimal safety/health hazard potential. Sedentary, sitting, standing, walking, occasional lifting (overhead, waist level) from floor, bending, frequent near vision use for reading and computer use, standard office equipment available.
