Educational Executive Assistant
About this role
The Educational Executive Assistant is a twelve (12) month contractual employee paid in twenty-six (26) equal biweekly installments. This position is an employee of Sturgeon Lake First Nation and is subject to annual ratification by Chief and Band Council. This is a twelve (12) month position and is not aligned with the academic (school-year) calendar. Leave entitlements are provided through annual leave, as outlined in the applicable SLFN Personnel Policy.
Reporting directly to the Education Director, the Educational Executive Assistant provides high-level administrative, organizational, and operational support to the Director of Education.
The Educational Executive Assistant shall:
Executive & Leadership Support
- Provide high-level administrative support to the Director and EAC (Education Advisory Council)
- Manage and coordinate calendars, appointments, and meeting schedules
- Screen and prioritize communications, including emails, calls, and requests
- Prepare correspondence, reports, presentations, and briefing materials
- Anticipate leadership needs and support decision-making processes
Meeting & Governance Coordination
- Prepare meeting agendas, minutes, and follow-up action items
- Coordinate leadership, committee, and community meetings
- Organize logistics including venue, materials, technology, and hospitality
- Support governance processes, including EAC or Band-related documentation
- Communication & Liaison
- Act as a key point of contact for the Director of Education
- Draft and distribute internal and external communications
- Support consistent, clear communication aligned with school and community values
- Administrative Operations
- Maintain organized filing systems (digital and physical)
- Support administrative processes and workflows
- Monitor deadlines, track tasks, and follow up on priority items
- Assist with document management, record keeping, and reporting
- Assist in maintaining accurate BambooHR records.
Project & Program Support - Assist with school improvement initiatives, reporting, and strategic planning
- Conduct research and compile information to support leadership decisions
- Track progress on projects and ensure timely completion of tasks
- Event & Logistics Coordination
- Support travel arrangements and logistics for the Director of Education and EAC as required
Financial & Data Support (as assigned) - Assist with cheque requisitions, purchase orders, invoices, and budget tracking
- Support data collection and reporting requirements
- Maintain accurate records related to expenditures and program activities
Qualifications:
- Post-secondary education in administration, business, or a related field (preferred)
- Minimum 2–3 years experience in an administrative or executive support role
- Experience in an educational setting (asset)
- Proficiency in Microsoft Office and administrative systems (e.g., BambooHR, student information systems)
- Strong writing, proofreading, and communication skills
- Clean Criminal Record and Vulnerable Sector Check
This position requires regular attendance at meetings outside standard working hours, including evenings and occasional weekends and may involve travel. The Educational Executive Assistant must be available to support leadership and governance functions as required.
