Job Purpose:
To assist with the coordination of a wide range of membership programmes, maximising member engagement while contributing to the implementation of the Chamber’s business strategy.
The Role:
In this role you are responsible for assisting with the administration and coordination of a wide range of programmes nationwide, supporting the Director of Leadership Development to deliver highly professional engagements on behalf of the Chamber. You will be required to work efficiently while being able to anticipate project needs, discern work priorities and meet deadlines with little supervision. Additionally, you should be able to respond to queries from members to maximise attendance and engagement, maintain the Chamber database and develop an in-depth knowledge of the membership base.
This role will suit a self-motivated and enthusiastic team player who is passionate about programme coordination and has superior technology skills. The successful candidate will be methodical with a good eye for detail, be well organised, have a professional telephone manner, and a flexible can-do attitude. Excellent English, in both verbal and written communication are essential. Reliability, efficiency, discretion, flexibility, tact, and a friendly attitude with the ability to get along with others is essential for this job.
It is expected that this position will also require the incumbent to have the ability to achieve results in the absence of continuous guidance.
Main Duties & Responsibilities:
- Coordinate aspects of the AmCham Leadership Development Programmes
- Deliver elements of each programme to meet annual budget parameters
- Liaise with guest speakers regarding timings, presentations, travel requirements, etc.
- Liaise with programme participants and answer queries in a prompt and efficient manner
- Order supplies, audio visual equipment, make travel arrangements, order signage, ensure appropriate décor to meet the quality expectations of the chamber and its members
- Prepare nametags, materials, notebooks, registration lists, seating cards etc as required
- Close out all programmes as required to include invoicing, thank you letters, etc.
- Work closely with the Director of Leadership Development and assist with new Chamber initiatives, including scheduling meetings with key stakeholders and sponsors
- Respond to member queries in a prompt and efficient manner
- Maintain the CRM with up-to-date information, including managing data entry from members and programme related communications
- Serve as a liaison on programme related matters
- Liaise with sponsors to ensure that sponsor expectations are met
- Coordinate chamber special guests' invitations and attendance and develop marketing lists
- Work closely with senior staff to maximise member satisfaction and keep the Chamber as ‘best in class’ in all areas of member activities
- Work closely with both supervisors on the sponsorship and advertising administration, including preparing communications, tracking replies, coordinating graphics and logos and answering queries in a prompt and efficient manner as required
- Attend and support Chamber functions, some of which take place outside of normal working hours
Skills Required:
Programme Management
- Support event coordination and logistics, ensuring smooth delivery from planning through to execution
- Assist with stakeholder management, maintaining clear and professional communication across teams
Communication
- Proficient in Microsoft PowerPoint, with the ability to create clear and well-presented materials
- Experience sending marketing communications via a CRM platform (Microsoft Dynamics desirable)
- Confident in managing calendar invitations and scheduling across multiple stakeholders
Administration
- Comfortable working with CRM systems for data entry, record management, and reporting (Microsoft Dynamics an advantage)
- Competent in Microsoft Excel for data organisation and basic reporting tasks
General: Office hours are Monday to Thursday; 9:00 to 5.30. Friday Finish at 4pm. While AmCham is a flexible employer this opportunity will suit an individual who resides in a location commutable to/from our Dublin office.
Salary Range for this position:
€35,000-€45,000 DOE
Candidate:
Candidate will be expected to be in the office 3 days per week (this is subject to change).
