Summary

The Maintenance Parts Clerk plays a critical role in supporting the plant’s maintenance operations by ensuring that all parts, materials, and supplies are accurately tracked, organized, and readily available. This position is responsible for managing inventory, coordinating parts orders, and maintaining detailed financial and usage records to support maintenance activities across the facility. The Maintenance Parts Clerk works closely with maintenance technicians, the maintenance planner, and the maintenance manager to ensure timely availability of parts needed for equipment repairs and preventative maintenance. This role also supports administrative tasks, contributes to budget alignment, and helps maintain a clean, efficient, and well‑organized parts storage area. The ideal candidate is detail‑oriented, organized, proactive, and able to thrive in a fast‑paced manufacturing environment.

 

Responsibilities

  • Receive and issue materials — Receive, store, and distribute materials, equipment, and supplies from the stockroom.

  • Maintain inventory records — Keep accurate documentation of parts replaced, inventory levels, and items on order.

  • Track supplier orders — Monitor, track, and receive incoming parts orders from suppliers.

  • Manage financial tracking — Use Excel spreadsheets to track financial purchases for the plant maintenance group.

  • Review parts expenses — Meet regularly with Finance and the Maintenance Manager to review parts spending and ensure alignment with the maintenance budget.

  • Report in operations meetings — Participate in scheduled operations and maintenance meetings to report on purchased‑parts status.

  • Coordinate with technicians — Communicate with maintenance technicians to identify required parts for equipment repairs.

  • Support maintenance planner — Assist with parts inventory management and reorder materials as needed.

  • Learn EAM systems — Become familiar with the EAM work‑order system and preventative‑maintenance scheduling tools.

  • Perform administrative tasks — Complete filing, organizing, and other administrative duties as needed.

  • Maintain storage area — Keep the parts storage area clean, organized, and orderly.

  • Provide overtime availability — Be available for occasional daily or weekend overtime as requested by the Maintenance Manager.

  • Provide vacation coverage — Fill in for the Maintenance Planner during vacation periods.

Qualifications

• Must have High School education or equivalent; Associates degree in business or similar field preferred• Must have 3 to 5 years’ experience in parts ordering, storing, and inventory control position(s).• Must have high level of organizational skills and the ability to operate independently yet as part of a team• Must have strong computer skills and experience in extracting and analyzing data using information system reporting tools such as an ERP system, computerized maintenance management system, or M/S Excel.• Must be a self-starter with excellent verbal and written communication skills and strong interpersonal, teambuilding and leadership skills• Must have an awareness of and the ability to follow GMP and Safety guidelines.
