Harlem Children’s Zone (HCZ) — a world-renowned education and poverty-fighting organization based in New York — seeks an enthusiastic, dedicated, and mission aligned Safety Operation Manager with the Safety Department.Â
The Safety Operation Manager will bring a passion for the mission of Harlem Children’s Zone: break the cycle of intergenerational poverty with comprehensive, on-the-ground programming that builds up opportunities for children and families to thrive in school, work, and life.Â
Our HCZ Safety Team is committed to creating safe spaces for our scholars, families, community, and staff members to thrive. We are stationed at 15+ HCZ sites with a team of New York State licensed safety officers. We provide 24-hour support, 365 days a year, at our 3 Charter School/Community Center locations.Â
Reporting to the Safety Director, the Safety Operations Manager is responsible for overseeing the administrative aspects of the Safety team. The ideal candidate must be comfortable working in a fast-paced environment and balance the ability to work independently with effective collaboration between the Safety team and the rest of the organization.Â

- H.S diploma, Bachelor’s degree preferredÂ
- 3+ years of related professional experienceÂ
Who You AreÂ
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and OutlookÂ
- Strong scheduling and calendar management skillsÂ
- Proven success in administering multiple projects simultaneously and prioritizing workloadÂ
- Excellent project and time management skillsÂ
- Impeccable attention to details and deadlinesÂ
- Excellent communication skills, including written and oral communication skillsÂ
- Proven ability to work with a diverse staffÂ

What You’ll DoÂ
Administrative Duties:Â
- Maintain employee information Â
- File absence notes, assist with employee timekeeping via UltiProÂ
- Update the weekly vacancy reportÂ
- Track staff annual Security Guard training requirementsÂ
- Maintain and update staff contact information, i.e., mobile phone numbers, site numbers, etc.Â
- Coordinate new hire onboarding process Â
- Track hiring progress with candidates to ensure all documents are submitted on time.
- Calendar Management:Â Â
- Manage the Director’s calendarÂ
- Manage the Events calendar across the departmentÂ
- Establish and maintain internal HCZ departmental relationshipsÂ
- Act as Department HR liaisonÂ
- Set up and coordinate meetings and conferences, both internal and external to HCZÂ
- Responsible for updating department databases, including inventory, staffing and others as requestedÂ
- Purchasing and Vendor Management
- Communicate with vendors for billing inquiries
- Submit departmental purchase orders, vendor invoices, reimbursements, and other general expenses in a timely manner
Operations Management:
- Data entry for Certify Me building access systemÂ
- Assist with training coordination, including obtaining materials for the teamÂ
- Assist Safety Director with key and access code managementÂ
- Assist Director in keeping alarm codes and emergency response call lists currentÂ
- On call during working hours to assist in coordinating staff assignments during safety crisis issues.Â
- Assist with the administration of the Fresh Works work order, space request, and incident reporting systemÂ
- Perform other duties as assignedÂ
ScheduleÂ
- Monday, Wednesday, Friday 9 – 5 pm and Tuesday and Thursday 10 – 6 pm Â
