The Project Coordinator plays a key role within the Order Fulfilment process. The role facilitates project information and workflow throughout a project lifecycle and coordinates internal project activities between departments and customers. The successful Project Coordinator will partner with and support Project Managers, Site Managers, the Financial Controller, Product Supply Centre’s (PSCs) and external customers to assist with the logistical, financial coordination and implementation of all project related activities. Your role will include (but not limited) :Â
- Review and analyse contract requirements and establish internal tasks to ensure satisfactory realization of project requirementsÂ
- Action all internal activities related to projects from initiation through to closureÂ
- Responsible for all internal project activities related to logistics coordination and order processing to PSC and external vendorsÂ
- Place client orders into ERP/CRM system toward the relevant PSCÂ
- Create and place Purchase Orders for third party products with purchasing organizationÂ
- Control all items in the Order has regulatory clearanceÂ
- Coordinate and follow up in relation to shipments and deliveriesÂ
- Update and maintain project accounting budgets within the ERP systemÂ
- Provide required information to evaluate changes to contractual dates based on contract terms and conditions, revenue recognition requirements, internal resource requirements and customer needsÂ
- Assume a proactive and direct role for supporting profitable revenue growth (i.e., monitor and provide status of short shipments, proactively work to find alternative solutions to maintain delivery and installations schedules)Â
- Process change orders and the associated statistical analysisÂ
- Process invoices and credits related to projects as required and within sales agreement terms and conditionsÂ
- Maintain project files Â
- Control account and project details are up to date in CRM systemÂ
- Represent department at project planning meetings and status meetings Â
- Other duties as assigned or requestedÂ
